Scheduler and Junior Sourcing Specialist

Our in-house Executive Search Team is seeking a Scheduler and Junior Sourcing Specialist (“Scheduler”) to help ensure our hiring process is seamless from application to offer. In this role, the Scheduler will serve as the main point of contact for our highest-level positions across the globe through the coordination of virtual and in-person interviews. They will also contribute to strategic sourcing efforts, gaining valuable experience in executive search, talent mapping, market research, and candidate identification as part of their professional development. Coordinators interact closely with our Executive Recruiters and Sourcers, candidates, and hiring managers and their teams to ensure a timely process from kick off calls to debriefs. The Scheduler reports to the Talent Knowledge Manager and is a member of the Talent Acquisition Team and Executive Search Team.

You will bring passion, organization, a strong sense of urgency, and meticulous attention to detail to support the Executive Search Team’s interview process. Organization, service excellence, and ability to quickly pivot and thrive in a fast-paced environment are key to this role.

Responsibilities include:

• Partner with the Executive Search Team to understand hiring needs, priorities, and timing.
• Coordinate complex interview schedules across multiple time zones, stakeholders, and executive calendars.
• Manage scheduling for virtual, in-person, panel and executive interviews, and ensuring a seamless experience for all participants.
• Ensure all candidate interactions reflect professionalism, exceptional service, and attention to detail.
• Handle scheduling conflicts and last-minute changes with professionalism, discretion, and urgency.
• Willingness and ability to learn sourcing – will dedicate 25%+ of time on tasks that can include candidate identification, applicant assessments, and market research.
• Contribute to continuous improvement and innovation in the efficiency and effectiveness of our systems, services, and processes.

This is a US-based remote opportunity and will need flexibility to support across multiple time zones.

What You’ll Bring:

• Bachelor’s degree and 3 years HR related work experience or equivalent combination.
• Experience managing multiple calendars, coordinating and scheduling meetings or interviews, booking travel and accommodations, managing reimbursements, and setting up virtual meetings across multiple time zones.
• Experience in creating credibility, trust, and partnerships with recruiters, candidates, and senior-level leadership through clear communication, responsiveness, and stakeholder support.
• Experience maintaining files, processing paperwork, data entry or related.
• Experience responding to employee or customer inquiries.
• Experience working with MS Office applications, Box, and applicant tracking system or database software.
• Experience in constructing and producing reports including data input, manipulation, and analysis.
• Experience in training or mentoring.
• Experience in working well under pressure and under tight and changing deadlines.
• Experience in handling confidential and sensitive data.
• Experience multi-tasking, being resourceful, and persistent.

Salary Information:

The starting pay range for a candidate selected for this position is generally within the range of $66,500– $90,000. This range only applies to candidates whose country of employment is the USA. Where a successful candidate’s actual pay will fall within this range will be based on a variety of factors, including, for example, the candidate's location, qualifications, specific skills, and experience. Please note countries outside the USA would have a different pay range in the local currency based on the local labor market, and not tied to USA pay or ranges. Your geographic location will be confirmed during the recruitment.
