We are seeking a detail-oriented and proactive Parts Coordinator to support our purchasing and inventory operations. This role is responsible for researching part information, identifying and verifying sources, communicating directly with vendors, and ensuring accurate and timely procurement of parts. The ideal candidate will have strong organizational skills, excellent communication abilities, and a talent for problem-solving in a fast-paced environment.

Key Responsibilities

• Research and verify part numbers, specifications, pricing, and availability.
• Contact vendors directly to obtain quotes, confirm product information, and negotiate delivery timelines.
• Source parts from approved suppliers and identify alternative vendors when necessary.
• Process purchase orders and track orders through delivery.
• Maintain accurate records of vendor communications, pricing, and purchasing activities.
• Follow up with vendors regarding open orders, backorders, and shipping updates.
• Coordinate with internal departments to ensure parts meet operational requirements.
• Maintain databases, spreadsheets, and inventory records with a high degree of accuracy.
• Assist in monitoring inventory levels and identifying replenishment needs.
• Support the Purchasing Manager with reporting and administrative tasks.

Qualifications

• High school diploma or equivalent required; Associate degree preferred.
• 2+ years of experience in purchasing, procurement, inventory control, parts coordination, or administrative support.
• Strong Microsoft Office skills, particularly Excel, Outlook, and Word.
• Excellent research, analytical, and problem-solving abilities.
• Strong verbal and written communication skills.
• Ability to manage multiple priorities and meet deadlines.
• Experience working with ERP, MRP, inventory management, or purchasing software preferred.
