Receptionist (Part-time 12-5 Monday - Friday)

We are seeking a professional, dependable, and customer-focused Part-Time Receptionist to join our team in Norwell, Massachusetts. In this role, you will serve as the first point of contact for visitors, customers, and employees, helping create a positive and welcoming experience while supporting the day-to-day administrative operations of our corporate office.

Schedule: Monday-Friday, 12:00 PM - 5:00 PM   

Additional Coverage Requirement: This role participates in a job-share arrangement and will be expected to provide coverage for the alternate Receptionist shift (8:00 AM - 12:00 PM) during periods of vacation, illness, or other absences.

This position is ideal for someone who enjoys interacting with people, thrives in a fast-paced environment, and takes pride in keeping an office running smoothly through exceptional organizational and communication skills.

What You'll Do

• Answer and direct incoming calls through a multi-line phone system in a prompt and professional manner.
• Welcome visitors, manage the visitor sign-in process, and issue visitor badges.
• Receive customer invoice payments and coordinate FedEx deliveries to lockbox processing.
• Open, sort, and distribute incoming mail to the appropriate departments.
• Process invoices and route administrative documentation according to established procedures.
• Support the sales team by researching and validating customer information, including company websites, addresses, and contact details.
• Provide general administrative and clerical support to Human Resources and other departments.
• Assist with the coordination and tracking of small projects and departmental initiatives.
• Maintain accurate files and records while handling confidential information with discretion.
• Support additional administrative tasks and special projects as assigned.

What We're Looking For

• High school diploma required; associate degree or related coursework preferred.
• Previous experience in reception, customer service, administrative support, office coordination, or a similar role.
• Strong verbal and written communication skills with professional phone etiquette.
• Excellent customer service skills and a polished, professional demeanor.
• Strong organizational skills with exceptional attention to detail.
• Ability to manage multiple priorities and adapt to changing business needs.
• Ability to maintain confidentiality and exercise sound judgment.
• Proficiency with Microsoft Office, including Word and Excel.
• Experience using multi-line phone systems and general office equipment such as copiers, scanners, printers, and postage systems.
• Comfortable learning new software applications and business systems.
• Reliable, punctual, self-motivated, and able to work independently while contributing to a team environment.
