Position Overview

As our Community Outreach Coordinator , you'll be the face of our mission, sparking connections with prospective volunteers and community organizations to grow the network of volunteers who change young lives. In this outward-facing, communications, driven role, you'll design and lead an active recruitment strategy that reaches new volunteers both virtually and in person, often serving as the very first impression someone has of our organization. This dynamic position calls for a confident communicator who's energized by public engagement and community building, with some evening and weekend availability to meet volunteers where they are. The ideal candidate is bilingual and biliterate in Spanish and English, with exceptional interpersonal and motivational communication skills. They bring experience creating volunteer recruitment materials, are highly organized and detail-oriented, particularly with paperwork and scheduling, and are comfortable researching, analyzing, and compiling data. Has sound judgment, collaborates well with team members, and can think on their feet. Genuine passion for the organization's mission (volunteers can sense authenticity). Patience and flexibility, since volunteer availability and commitment levels vary widely. Ability to make people feel valued and see the tangible impact of their time


Reports to: Senior Program Manager-Initiative, Training and Recruitment


Status: Full -time, non-exempt; 40 hours per week with occasional evening and weekend work required


Location: Redwood City, CA- Hybrid work schedule with two days in the office and occasional travel to off-site locations for presentations and events.


Duties and Responsibilities

• Build and maintain volunteer pipeline:
• Develop and implement a comprehensive volunteer recruitment plan to recruit a diverse pool of volunteers to serve as Court Appointed Special Advocates based on waitlist needs and current volunteer pool.
• Coordinate organizational efforts to recruit a diverse pool of volunteers to (1) provide culturally and linguistically sensitive services to the youth CASA supports and to (2) ensure that the organization has a volunteer pool with individuals with diverse backgrounds.
• Identify and establish relationships and promote volunteer opportunities with local community organizations, corporations, associations, collaborations, and networks that act as natural volunteer recruitment sources.
• Build ongoing relationships with community organizations, businesses, and schools as recurring volunteer pipelines.
• Schedule and coordinate orientations, this includes ensuring information is updated, current, and correct on website and other public documentation and delivery of information.
• Process volunteer applications including entering and verifying information is accurate and complete for each prospective trainee on agency database, tracking prospective trainee information, and identifying and reporting to the Program Team on any issues regarding candidates.
• Collaborate with the Development Team to develop and produce recruitment and outreach materials, including PowerPoints, flyers, banners, and both digital and hard copy collateral, as well as contribute to broader organizational marketing and awareness materials beyond volunteer recruitment. This includes Spanish-language versions.
• Partner with the Development and Program teams to create social media content that supports both volunteer recruitment and CASA's broader organizational marketing, awareness, and engagement efforts, coordinating translation support as needed.
• Design or coordinate recruitment campaign materials with design/marketing teams when available, ensuring materials support broader outreach efforts.
• Ensure all recruitment and outreach materials reflect a consistent employer brand voice and messaging, in compliance with EEO/equal opportunity language requirements.
• Identify and engage candidates through volunteer pipelines, LinkedIn, referrals, networking events, and databases, including proactive outreach to passive candidates.
• Present to external audiences to recruit volunteers, raise awareness, engage corporate and community partners, and raise the profile of CASA of San Mateo County.
• Plan and host community events and outreach activities that raise awareness of CASA's mission and create multiple pathways for community involvement.
  • Special events and projects, as required.

• Develop strategies to improve volunteer pipeline from first contact through long-term service.
• Research and document current recruitment and retention practices.
• Analyze pipeline data to identify where volunteers drop off and manage a defined schedule of touch points that keeps volunteers engaged and tracked at every stage.
• Use outcome and attrition data to identify the highest-drop-off phases, especially application and assignment, and to develop targeted strategies to close those gaps.
• Develop additional volunteer capacity-building opportunities (such as short-term projects, event support, or other volunteer roles) to keep prospective and waitlisted volunteers engaged and connected to CASA while they await a case assignment.
• Collect, evaluate and present data to track recruitment goals and needs.
• Maintain up to date information of candidates from the inquiry stage to application within the volunteer management database, communicating with the Training Coordinator and working with staff to evaluate training candidates.
• Produce a monthly pipeline report for program team and a quarterly summary with recommendations tied to the findings for program team and leadership.

Qualifications

• BA/BS degree in communications, marketing, social services, or equivalent training and experience.
• Ability to research, analyze, and compile data, to find trends using various touchpoints to determine volunteer retention.
• Publication/Marketing knowledge-1 year experience.
• Competent in Adobe InDesign and Photoshop, Canva, Constant Contact, Hootsuite
• Bilingual and Biliterate (English/Spanish) preferred.
• Demonstrated excellent written and oral communication skills, effective public speaker.
• Demonstrated excellent interpersonal skills.
• Ability to analyze information and metrics and use these to improve systems and strategies.
• Flexibility with hours, including some evenings and weekends.
• Must successfully pass a Live Scan (DOJ/FBI) background check and provide TB clearance as a condition of employment.

Other Skills/Abilities

• Competence in Microsoft Word, Excel, PowerPoint, and Outlook programs and comfort learning and utilizing new software programs.
• Strong task management and project management skills
• Ability to maintain confidentiality and exercise discretion in communication with others.
• Writing and publishing postings, ads, and social/LinkedIn content to promote volunteer roles across volunteer boards, career pages, and campaigns.
• Creating recruitment marketing materials and employer branding content (flyers, one-pagers, newsletters, volunteer spotlights).
• All published materials maintain a consistent brand voice and comply with EEO/equal opportunity language requirements.
• Demonstrated respect of all people regardless of socioeconomic background, culture, religion, sexual orientation, disability, gender identity, or gender expression and experience working with culturally diverse populations.
• Knowledge of community resources and population of San Mateo County
• Previous experience working with volunteers.
• Must have a CA driver's license and possess a vehicle.
• Personal vehicle required for travel to off-site presentations, events, and community partner meetings; mileage is reimbursed per CASA's travel reimbursement policy.

Physical Requirements

• Ability to sit, stand, and lift up to 15 lbs, including setting up, transporting, and breaking down tabling equipment and outreach materials at recruitment events; reasonable accommodations will be considered.

Compensation and Benefits

• Starting salary range: $31.25/hr.- $35/hr DOE Compensation for this position is set within a posted salary range and is not negotiable. Where a candidate is placed within that range is determined by HR's standard experience-evaluation process, which considers directly relevant education, certifications, and work history.
• Extra $35/week for bilingual Spanish employees who pass a Spanish proficiency assessment
• 4 weeks' vacation to start (increasing with tenure)
