Job Summary
The Order Entry & Reception Specialist is the first point of contact for our facility and handles the first administrative steps of our manufacturing process. This dual role covers front-desk reception and visitor management while accurately entering customer purchase orders into our system to launch production.

Core Responsibilities

• Order Processing & Data Entry: Review incoming customer purchase orders, interpret technical requirements, and accurately enter data into our ERP system to create clean manufacturing jobs. Verify details against the PO before release.
• Front Desk Reception & Visitor Management: Greet onsite visitors, manage check-in procedures, issue temporary badges, and maintain accurate, compliant visitor logs.
• Communication & Inquiries: Answer and route incoming phone calls professionally, take accurate messages, manage the central administrative email inbox, and distribute mail and packages to the correct departments.
• Document Management & Filing: Scan, index, and file digital order PDFs and physical paperwork systematically, making sure all initial contract documents match internal accounts.
• Sensitive Data Protection: Handle purchase orders, customer accounts, and internal records in strict accordance with company security policies and compliance standards to protect proprietary and controlled information.
• Office Support: Assist other departments with clerical and data entry needs as assigned.

Required Qualifications

• U.S. Person Status Required: This position works in a facility subject to ITAR/EAR access controls. Applicants must be U.S. citizens or lawful permanent residents.
• Background Check: Successful completion of a background check is required before employment.
• Education: High school diploma or GED.
• Experience: 1–3 years of administrative, data entry, customer service, or front-desk reception experience, ideally in a manufacturing or industrial setting preferred.
• Technical Skills: Strong computer skills, including Microsoft Office (Excel, Word) and document scanning. Experience with ERP systems or digital visitor tracking tools is a strong plus.
• Process & Accuracy: Exceptional attention to detail, with a focus on catching data errors during high-volume entry and keeping organized records.
• Communication: Clear, courteous phone and written communication, and the ability to handle confidential information appropriately.
