Operations Coordinator

to join our

Commercial Division

. In this role, you'll help keep projects running smoothly from billing and documentation to vendor coordination, compliance, and project closeout. You'll partner closely with Sales, Project Managers, vendors, customers, and internal teams, making organization, communication, problem-solving, and follow-through essential to success. Base Salary: $60,000 to $80,000

(based on experience) 40 hrs./5-day work week

Monday - Friday: 7 am to 5 pm

Day-to-Day Tasks:

Own customer invoicing, AIA pay applications, and progress billings Review contracts and project documents to identify billing terms, retainage, insurance requirements, and deadlines Set up and manage project files, contracts, budgets, change orders, and financial details Drive accurate, on-time billing and track project financials from start to closeout Partner with Project Managers on billing, change orders, reporting, and deadlines Coordinate lien waivers, preliminary notices, closeout documents, and compliance requirements Monitor customer payments, research billing issues, and support collections Reconcile project billing and assist with month-end accounting Build strong relationships with customers, contractors, vendors, and internal teams Improve processes and identify ways to make project administration more efficient

What We're Looking For

:

2+ consecutive years proven work experience as an Operations Coordinator, Construction Administrative Assistant, Construction Project Coordinator, Construction Accountant, Project Accounting Coordinator, or similar role. Valid driver's license & reliable form of transportation (REQUIRED) Ability to pass a background check & drug test (REQUIRED) Working knowledge of Microsoft Office, JengAI, BidPro, Measured Squared Fundamental tech and math skills Positive, communicative and motivated to help grow the business Sense of urgency and cost consciousness Accounting, bookkeeping and reconciliation experience Experience with AIA billing, progress billing or construction invoicing Excellent interpersonal, verbal and written communication skills Collaboration skills and ability to delegate effectively Organizational skills and the flexibility to jump from priority to priority Analytical skills, critical thinking and problem-solving abilities Time management skills and detailed oriented Knowledge of RFMS is a plus, but not required - willing to train
