Role Summary

The Special Events Specialist supports the City of Pharr’s event operations by keeping schedules, documentation, and communications accurate and on time. This role helps ensure event requests move smoothly from inquiry through closeout.

Key responsibilities include coordinating event inquiries and scheduling; preparing and tracking contracts, invoices, and related records; supporting event planning and on-site execution as assigned; assisting with promotional materials and updates; and completing administrative purchasing steps such as check requests, requisitions, purchase orders, and vendor setup.

Required qualifications/skills:
- Strong organization, attention to detail, and follow-through
- Clear written and verbal communication
- Basic proficiency with office software and recordkeeping
- Ability to manage multiple deadlines in a public-facing setting
- Availability for a 40-hour week with flexibility for evenings, weekends, and holidays as needed

A Typical Workday

As timelines tighten, you may shift between the office and event spaces to help keep details aligned, then wrap up by reconciling paperwork, logging updates for accurate records, and setting priorities for the next day’s deadlines.
