Training Grants Coordinator (Hybrid)

The Charlie Dunlop School of Biological Sciences is one of the largest schools at UCI, serving over 5,000 undergraduate and graduate students. The Research Administration and Development (RAD) Unit is a centralized unit within the Dean's Office that provides Research Development, Pre-Award, and Post-Award services to Dunlop School researchers. Responsibilities The Training Grants Coordinator supports proposal development and manages the day-to-day programmatic administration of training and research education grants jointly supported by the Charlie Dunlop School of Biological Sciences and the School of Medicine. The portfolio includes, but is not limited to, NIH Institutional Training Grants (such as T32), NIH Research Education Program Grants (R25), NSF Research Traineeship awards, Department of Education Graduate Assistance in Areas of National Need awards, California Institute for Regenerative Medicine training grants, and other federal, state, and foundation-funded training programs. The incumbent works with training grant faculty and staff to assemble data tables and supporting documents for applications and coordinates trainee recruitment, selection, appointment, onboarding, reappointment, and termination processes. The Coordinator maintains required trainee and program records, supports sponsor reporting, and monitors compliance with sponsor, institutional, and award requirements. The position works closely with faculty Program Directors, preceptors, trainees, post-award financial analysts, research development staff, human resources, payroll, academic departments, and other campus partners. The Coordinator serves as a primary liaison among faculty, trainees, administrative units, funding agencies, and partner institutions and supports workshops, symposia, conferences, career development activities, and other award-required programming. The Coordinator also develops and maintains standard operating procedures and tracking systems to promote consistent, efficient, and compliant training grant administration. Qualifications Required: Knowledge of federal and state grant regulations, sponsor requirements, progress reporting, and compliance requirements applicable to training and research education awards. Knowledge of major research funding agencies and training mechanisms, including NIH, NSF, the U.S. Department of Education, and CIRM. Ability to interpret and communicate sponsor, institutional, and award policies and requirements to faculty, trainees, and administrative partners. Excellent organizational and time-management skills, including the ability to manage multiple awards, competing deadlines, detailed records, and recurring reporting requirements. Strong written, verbal, and interpersonal communication skills and the ability to interact professionally and collaboratively with faculty, staff, students, postdoctoral scholars, and external partners. Demonstrated attention to detail and accuracy in grant administration, compliance tracking, data management, and financial coordination. Ability to exercise independent judgment, maintain confidentiality, work independently and collaboratively, and provide responsive customer service. Proficiency with spreadsheet, database, grant management, data tracking, and financial reporting applications; aptitude for learning new systems. Familiarity with budgeting, financial reporting, and pre-award and post-award research administration. Bachelor's degree in related area and / or equivalent experience / training A minimum of 3 years of experienceGrant administration, research administration, program administration, or project management, preferably in an academic or research environment. A minimum of 1 year of experienceExperience with NIH training and education grants, including T32, F31, and R25 mechanisms, and familiarity with GAANN, NSF NRT, CIRM, or comparable programs.
