Service Writer Summary:
In this role, the Service Writer serves as the primary point of contact between customers and the service department. The Service Writer is responsible for communicating repair needs, service recommendations, timelines, and costs to customers while ensuring a smooth workflow between technicians and clients. The ideal candidate will have prior service writing experience in a diesel, heavy equipment, truck, or mechanic shop environment and possess strong organizational, communication, and customer service skills.

Service Writer Pay Rate: $22-$30/hr. DOE
Service Writer Hours: Monday - Friday, 8am-5pm

Service Writer Duties & Responsibilities:

• Greet customers and gather detailed information regarding vehicle and equipment concerns.
• Create and manage repair orders from intake through completion.
• Communicate technician diagnoses, repair recommendations, and estimates to customers.
• Explain technical information in a clear and professional manner.
• Coordinate scheduling of repairs and preventative maintenance services.
• Provide customers with accurate updates regarding repair status and completion timelines.
• Work closely with technicians to ensure repair information is documented accurately.
• Order and track parts as needed to support shop operations.
• Monitor work progress to ensure deadlines and customer expectations are met.
• Process invoices and review completed work orders with customers.
• Maintain detailed and accurate service records.
• Manage multiple repair orders simultaneously while prioritizing urgent requests.
• Handle customer concerns and resolve issues professionally.
• Ensure all documentation is completed accurately and in a timely manner.
• Follow company policies and procedures while maintaining a high level of customer service.

Service Writer Basic Requirements:

• Previous Service Writer experience in a diesel, truck, heavy equipment, or mechanical repair shop required.
• Automotive dealership sales service writing experience alone is not preferred.
• Strong understanding of mechanical repair processes and shop operations.
• Ability to effectively communicate technician findings and repair recommendations to customers.
• Excellent verbal and written communication skills.
• Strong organizational skills and attention to detail.
• Ability to manage multiple projects, timelines, and customer requests simultaneously.
• Experience creating estimates, repair orders, and service documentation.
• Proficiency with computer systems and shop management software.
• Experience with Mitchell 1 software is highly preferred.
• Strong time management skills and ability to work in a fast-paced environment.
• Customer-focused mindset with a professional demeanor.
• High school diploma or equivalent required.
• Stable work history and strong references preferred.
