Intake Specialist - Float, Adult Mental Health, Harrington Hospital - 40 hours, Various Shifts Please note that the final offer may vary within this range based on a candidate’s experience, skills, qualifications, and internal equity considerations . Monday through Friday Scheduled Hours: Days and times may vary. Could be scheduled as five 8 hour shifts, four 10 hour shifts or another configuration to include Saturday mornings from 6:00am-12:00pm. May include later hours during the week. Friday shifts are manditory. Responsibilities Perform heavy telephone intake, patient registration, booking appointments, obtaining client data, identification, and insurance cards. Type correspondence and manage phone & foot traffic. Monitor, track, troubleshoot, and resolve problematic issues to ensure accuracy and completeness of patient accounts. Adhere to Managed Care Insurance requirements & procedures. Verify and obtain initial authorizations for services for new patients and verify authorizations & current insurance coverage for existing patients. Respond to and resolve billing and insurance related inquiries from clients, therapists, and doctors. Research and follow up on outstanding problematic accounts to expedite collection activities. Review and process all necessary Prior Approval forms and track their status. Verify charge entry and Revs; monitor and correct Clinician and Provider charge entry as well as enter missing Diagnosis as needed. Receive visitors, schedule appointments, perform reception duties and filing. Provide back‑up coverage for other support staff and assist with coverage for other sites as needed. Collect co‑payments, open and close a cash drawer, and balance the drawer on a daily basis. Work with patients to book follow‑up appointments and with clinicians to reschedule or cancel patients when requested. Attend all staff meetings & trainings. Assist in the training of new personnel and perform any other task requested by the Operations Manager. Qualifications At least 2 years of office experience, including typing 40 wpm and handling high‑volume telephones. Ability to multitask and maintain a calm demeanor. Sound knowledge of business systems and office procedures. Excellent customer service skills. Team player. Experience with Meditech and Allscripts is a plus. High school diploma with emphasis on business‑related courses. One year of advanced education and training in the business/secretarial/medical field or equivalent experience. Bilingual in English and Spanish is a plus.
