North Shore Services is seeking an Office Manager to join our family-owned, people-focused team. Our story began in 1985 when our founders, two special education teachers, followed their purpose to make a difference in the lives of others. The vision of helping individuals achieve their greatest possible happiness and independence has grown into seven residential homes that are part of our community with caring staff available 24 hours a day.

Throughout the years, we have become big enough to fulfill our vision, while staying small enough to hold onto our founding values. Our leadership doesn't manage from a distance - we are involved in the day-to-day so that we know our homes, our clients, their families, and our team.

The Office Manager is the administrative and financial hub of our organization. This role owns the billing cycles that fund our services, supports payroll and new hire onboarding, keeps our homes and vehicles properly licensed and inspected, and makes sure our staff and clients have what they need to succeed. If you are organized, deadline-driven, and take pride in getting the details right, this is a role where your work is felt every single day.

Key Responsibilities
  • Prepare and submit state and county billing accurately and on schedule.
  • Manage the distribution and documentation of client SSI/SSA funds in accordance with representative payee requirements.
  • Support payroll processing and new hire onboarding.
  • Coordinate the preparation and filing of client taxes.
  • Complete annual Motor Vehicle Record reviews for insurance purposes.
  • Ensure that city/state licenses are renewed.
  • Schedule and coordinate annual inspections and preventative maintenance.
  • Arrange and coordinate building repairs with vendors and contractors, following through to completion.
  • Order household and office supplies for the office and residential homes, managing cost and inventory.
  • Maintain accurate records in QuickBooks, including data entry, reconciliation support, and reporting.
  • Handle day-to-day banking activity, deposits, and related recordkeeping.
  • Maintain organized, audit-ready documentation and serve as a dependable point of contact for staff, vendors, and county and state partners.
Required Qualifications
  • Associate's or bachelor's degree in business, accounting, or a related field preferred.
  • At least 2 years of office management, bookkeeping, billing, or administrative experience; experience in I/DD, healthcare, or human services is a plus.
  • Working knowledge of QuickBooks and strong proficiency with Microsoft Office, particularly Excel and Outlook.
  • Proven accuracy with numbers, recurring deadlines, and confidential information.
  • Must have valid Ohio Driver License and acceptable Motor Vehicle Record.
  • Demonstrated ability to quickly learn and effectively use new software platforms, with a proactive mindset toward discovering efficiencies, optimizing workflows, and taking initiative to expand their practical use.
  • Strong organizational and communication skills, with the ability to juggle competing priorities and work independently.
  • Must pass a background check.
