Responsible for managing and coordinating all administrative and support duties for all company properties and market teams in a designated territory, including financial administration, facilities management, reporting of operational metrics, contracts and vendor management, and inventory oversight. Optimize processes and procedures that ensure the efficient and cost-effective operation of the area offices and the alignment of day-to-day operations with organizational objectives.

Job Responsibilities:

• Oversees maintenance of all company properties through personnel and vendors. This includes collaborating with facilities, strategic sourcing and supply chain, and shared services teams to maintain all building support systems.
• Partners with the shared service team to ensure accurate coding and processing of all territory revenue and is responsible for the creation of revenue and expense reclass procedures and timely reclasses of monies. Partners with territory staff to ensure accurate coding and processing of any monies received in territory.
• Inputs and tracks all contracts for area team members across the territory to ensure partnership terms and payment timelines are met.
• Manages and coordinates the timely procurement of materials, supplies, and services required by area by soliciting quotations from qualified suppliers and performing complete bid analysis to ensure the organization is obtaining the best product or service for the most reasonable cost.
• Aids in the preparation of annual budgets by providing cost estimates on equipment, materials, supplies, and services which have a significant impact on territory and area expenditures for the coming year.
• Reviews all financial and operational activities for indirect programs across the territory. Prepares annual budget, forecasts monthly, and tracks financial activities in relation to the indirect programs line items; may process payables including expense reports for territory and area leadership.
• Manages in-territory fleet operations and coordinates with national office fleet manager to ensure safe maintenance of the fleet system.
• Analyzes, organizes, and implements office operations, procedures, and processes, including but not limited to office supply inventory management, safety and business continuity plans, and office norms.
• Leads payment card industry data security and audit standards in the territory and oversees all training and compliance initiatives within the territory.

This role has ownership of tracking expenses, preparing annual budgets, performing monthly forecasts, revenue/expense reclasses, and monitoring financial performance against budget. Project & Operations Management. This role serves as the operational hub for a multi-site territory and requires strong coordination skills across multiple stakeholders. Level of project management needed: Moderate project management responsibility. Managing timelines, deliverables, and stakeholders. Coordinating facilities, fleet, office operations, and compliance activities. Driving process improvements. Managing multiple concurrent initiatives independently. Formal PMP certification is not required, but demonstrated project coordination and ownership experience is highly valuable.
