Events Assistant

Red O is seeking a highly organized, enthusiastic, and detail-oriented Events Assistant to support the planning and execution of a wide range of events. In this dynamic role, you will assist with day to-day logistics, on-site event coordination, and post-event follow-up. Key Responsibilities Assist in planning and organizing internal events such as meetings, tradeshows, weddings, birthdays and other social events. Assist the Director of Events with daily administrative tasks to ensure smooth office operations. Distribute Banquet Event Orders (BEOs) accurately and in a timely manner to relevant departments. Assist in billing reconciliation and process deposits related to events. Update and manage client leads and follow-ups using TripleSeat. Handle incoming phone calls for the Events Department; return voicemails and direct inquiries appropriately. Input and manage all confirmed events into the OpenTable reservations system. Assist with on-site event setup as outlined in the BEO, including signage, table setup, menu printing, and liaising with the kitchen. Perform additional assignments or tasks as needed to support the Events team. This person will ideally also be trained as a front desk host to provide them with more hours and a better understanding of the restaurant. Qualifications Previous experience in event planning, hospitality, marketing, restaurants or administrative support is preferred but not required. Excellent organizational and multitasking skills with keen attention to detail. Strong communication and interpersonal skills. Ability to work independently and collaboratively in a team environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with event and restaurant software (e.g., TripleSeat, Open Table) is a plus. Flexible schedule – requires evening and weekend work. Additionally, your schedule may adjust based on last minute event needs. Ability to remain calm under pressure and adapt to changing priorities.
