Position Overview

Guardline USA is seeking an organized and detail-oriented Program Coordinator to support our energy-efficiency projects across multiple utility and incentive programs.

The Program Coordinator will be responsible for managing applications, documentation, program requirements, and ongoing communication with utilities, program representatives, customers, and the Guardline team.

Responsibilities

• Prepare and submit energy-efficiency program applications.
• Manage projects across multiple utility and incentive programs.
• Track applications from initial submission through approval and final incentive payment.
• Communicate with utility program representatives regarding project status and outstanding requirements.
• Collect and organize utility bills, equipment information, proposals, invoices, W-9s, customer forms, and other required documentation.
• Complete and maintain program workbooks, applications, and internal tracking sheets.
• Follow up on outstanding documents, approvals, inspections, and incentive payments.
• Review applications and supporting documentation for accuracy and completeness before submission.
• Coordinate with Guardline's sales and project-management teams to keep projects moving.
• Maintain organized electronic project files and accurate records.
• Learn the requirements of different energy-efficiency programs and stay current as program rules change.
• Assist with project closeout and final incentive documentation.

Qualifications

• Highly organized with strong attention to detail.
• Strong written and verbal communication skills.
• Comfortable managing multiple projects and deadlines simultaneously.
• Proficient with Microsoft Excel, Word, Outlook, and general office software.
• Able to learn new programs, forms, and processes quickly.
• Strong follow-up skills and willingness to take ownership of outstanding items.
• Experience with utility programs, energy efficiency, construction, or project coordination is helpful but not required.
