As a new Body Shop Office Assistant at Fox Negaunee Chevrolet GMC, you will be responsible for a variety of essential tasks. Your day-to-day activities will include greeting customers, answering phone inquiries, and scheduling appointments for vehicle repairs. You will assist in documenting incoming vehicles, processing repair orders, and maintaining organized records. Communication with technicians and service advisors will be key, ensuring that everyone is informed and on track with projects. You will also handle inventory management, such as tracking parts and supplies needed for repairs.

Additionally, you may be tasked with basic administrative duties, including filing paperwork and responding to emails. Your role will directly contribute to a seamless body shop experience for both customers and team members.

A high school diploma or GED is required, along with one to three months of related experience. Knowledge and skills required for the position are:

• Greets customers and determines the nature of their visit.
• Answers incoming phone calls. Assists caller or individual or takes a thorough message.
• Communicates with callers and visitors in a professional, friendly, and efficient manner.
• Communicates messages to the appropriate parties in a timely manner.
• Types memos, correspondence, reports, and other documents.
• Assists service customers during the morning and evening service rush whenever possible.
• Assists with clerical duties as requested.
• Maintains a professional appearance.
• Assists in documentation of supplemental repairs as needed.

SKILLS & EXPERIENCE

• High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
• Experience and desire to work with technology to drive an exceptional customer experience.
• Excellent communication, organization, and follow-up skills.
• Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
• Ability to write simple correspondence.
• Ability to read and comprehend simple instructions, short correspondence, and memos.
• Ability to set and achieve targeted goals.
• Ability to multi-task, prioritize, and manage time effective.
• High energy and positive attitude.
• Vehicle repair knowledge is a bonus.
