Job Description The Supervisor Physician Practice is responsible for coordinating the patient flow within the clinic. Performs various functions, including clerical, reception, scheduling, cashier, clinical support, and medical records while conveying a positive image of the clinic and providing excellent customer service. Responsibilities Evaluation and Analysis: adhere to and base understanding of the financial budget; operate within fiscal budget guidelines. Serve as backup to Patient Services Rep I and II—research and compile charge information from the physician for the billing process. Key charges and process batches daily; prepare bank/deposit summaries after balancing payments to receipts. Apply thorough knowledge of practice‑management billing systems across patient accounts—including insurance, billing, and collections. Comply with the Fair Debt Collections Practice Act and self‑pay/bad‑debt policies. Review accounts for potential collection agency assignment and recommend to Site Coordinator. Advise patients on collection and billing procedures and anticipated changes. Assist patients in understanding liability and explain payment responsibility. Review diagnosis and procedure codes for accuracy and enter data at point of service. Perform computer data entry, research, and interpret complex information while maintaining accurate records. Process referrals accurately and timeliness; provide documentation of processed referrals. Facilitate collection of patient payments, provide account balances, and collect outstanding balances. Reconcile daily cash fund and balance cash drawer; prepare bank/deposit summary. Greet, welcome, and promote cooperation and superb customer relations to all clinic visitors. Facilitate patient flow through the clinic. Obtain and edit patient and insurance information in the clinic's computer system, ensuring accuracy. Maintain knowledge of health plans, including co‑pays, deductibles, and co‑insurance. Inform patients of their rights and provide information on Advance Directives upon request. Schedule and reschedule patient appointments; demonstrate appropriate phone etiquette while coordinating calls. Maintain current patient charts/files and appropriate information; file medical records and respond to record requests/release. Perform clerical duties (answer phone calls, retrieve records, record data, type memorandums, etc.) promptly and efficiently. Qualifications Two years' health care operations support experience.
