Accounts Payable Supervisor

Job Description

• Supervise the Accounts Payable function and provide direct oversight of an AP Coordinator.
• Oversee high-volume vendor invoice processing across multiple AP platforms.
• Review and approve invoice coding, payment requests, ACH, wires, and check payments.
• Monitor AP workflows, approvals, and payment schedules.
• Identify and resolve duplicate invoices, duplicate payments, coding discrepancies, and payment issues.
• Review weekly payment files and ensure payments are accurately processed.
• Manage ACH, wire transfers, positive pay, check deposits, and other treasury activities.
• Monitor cash receipts, outstanding checks, and cash flow requirements.
• Maintain accurate vendor records, W-9s, banking information, and tax documentation.
• Serve as an escalation point for vendor inquiries and payment concerns.
• Prepare AP aging reports and monitor outstanding vendor balances.
• Support 1099 preparation, audits, month-end/year-end close, and financial reporting.
• Partner with Accounting, Treasury, Billing, Procurement, Operations, and other departments.
• Participate in process improvement initiatives and special projects.

Qualifications:

• Associates degree in Accounting, Finance, Business Administration, or related field required; Bachelors preferred.
• 25 years of progressive Accounts Payable, Treasury, or Accounting experience.
• At least 1 year of experience leading, supervising, training, or coordinating staff preferred.
• Nonprofit accounting experience strongly preferred.
• Experience with 1099s, vendor compliance, bank reconciliations, ACH, and wire payments required.
• Strong understanding of AP operations, internal controls, and treasury management.
• Experience with Sage Intacct, BILL.com, Concur, Coupa, and Microsoft Excel preferred.
