Job Description

The Project Coordinator supports project managers by overseeing administrative and operational tasks, ensuring projects are completed on time, on budget, and within scope. They act as a liaison between internal teams, stakeholders, and clients.

Key Responsibilities

• Project Planning & Coordination: Assist in developing project schedules, budgets, scope statements, and deliverables. Coordinate allocation of resources—personnel, equipment, and materials—to meet project requirements.
• Administrative Support: Handle administrative/bookkeeping tasks: managing invoices, purchase orders, budgets, spreadsheets, and expense documentation. Oversee project-related paperwork and documentation, maintaining version control.
• Stakeholder Communication & Meetings: Schedule and organize project meetings; prepare agendas, materials, and minutes. Serve as liaison: coordinate with team members, clients, vendors, and stakeholders, providing regular project updates and ensuring alignment.
• Progress Monitoring & Reporting: Track project milestones, schedules, and deliverables to ensure deadlines are met. Identify potential issues or risks; monitor risk registers and escalate concerns as needed. Generate status reports and provide detailed updates to the project manager and stakeholders.

Required Qualifications

• Bachelor's degree in Business, Communications, Project Management, or related field
• 2–3 years of relevant experience in project coordination or administrative roles
• Ability to multitask, prioritize work, and perform under tight deadlines

• Organizational skills: adept at managing schedules, deadlines, documents, and logistical details
• Communication: strong verbal, written, and presentation abilities to engage with diverse stakeholders
• Technical proficiency: proficient in Microsoft Office (Word, Excel, Outlook), and familiarity with project management tools (e.g., MS Project, Smartsheet)
• Attention to detail: meticulous with project documentation, budgets, and risk tracking
• Problem-solving: proactive in identifying challenges and proposing solutions
