Legal Office Supervisor

The Pima County Attorney's Office is seeking a motivated professional to join our Criminal Division's Felony Unit as a Legal Office Supervisor. This position will supervise, train, mentor, and support legal support staff assigned to the Charging Unit, which includes Grand Jury, Initial Appearances, Priors, and Redactions.

The Legal Office Supervisor will oversee daily workflow and staff assignments, assist with employee development and performance, and help ensure efficient and consistent legal support operations within the unit. The position will work closely with attorneys, supervisors, and division leadership to coordinate operational needs, address workflow and staffing issues, and support the effective delivery of services. The position will also assist with operational planning, process improvements, special projects, and other assignments as needed.

Essential Functions:

• Supervises, trains, and evaluates staff to ensure effective and efficient legal support operations;
• Manages daily workflow and caseloads to maintain operational efficiency and meet deadlines;
• Collaborates with leadership in strategic planning to improve division performance and service delivery;
• Ensures accurate preparation and processing of legal documents, including complaints, motions, and disclosures, in support of attorneys;
• Oversees and trains staff in proper use of document management systems and electronic filing procedures across various courts;
• Researches and compiles daily, weekly, and monthly performance metrics and reports for internal use and decision-making;
• Schedules and conducts job interviews, performance evaluations, and employee development plans;
• Trains staff in the use of legal case management systems to ensure consistent and accurate documentation;
• Coordinates file closeouts and ensures compliance with legal and procedural requirements;
• Maintains up-to-date knowledge of court procedures and legal office operations to support accurate staff guidance.

Minimum Qualifications:

• Bachelor's degree from an accredited college or university in legal studies, criminal justice, business or public administration, political science or a related field as determined by the department head at the time of recruitment.
• (Relevant experience and/or education from an accredited college or university may be substituted.)
• OR: Three years with Pima County in a Paralegal or related position as determined by the department head at the time of recruitment.

Preferred Qualifications:

• Experience developing or implementing procedures, workflow improvements, staff training, or other operational improvements.
• Experience coordinating staff assignments, workflow, and deadlines in a high-volume work environment.
• Minimum two (2) years of experience supervising, leading, or training staff in a legal, criminal justice, court, or similar professional environment.
• Experience working in a prosecutor's office, public defense office, court, law enforcement agency, or other legal environment.
• Experience with criminal case management systems, electronic court filing systems, and/or legal document processing.

Selection Procedure:

Pima County Human Resources Department reserves the right to admit to the selection process only those candidates that meet the minimum qualifications. All applications will be assessed based on an evaluation of the listed education and experience. Candidates meeting the minimum qualifications may be further evaluated/scored against any advertised Preferred Qualifications. The hiring authority will interview and select the successful candidate from a referral list provided by Human Resources. Additional assessments/testing may be required as part of the selection process.

Licenses and Certificates: Valid driver license is required at time of application. Valid AZ driver license is required at time of appointment. The successful applicant will be subject to a 39-month DOT Motor Vehicle Record review to determine applicant's suitability to operate county vehicles in accordance with Pima County administrative procedures. Failure to obtain and maintain the required licenses and certifications shall be grounds for termination. Any offer of employment resulting from this recruitment is contingent upon Fleet Services' review and approval of the candidate's driving record.

Successful candidates will receive a post-offer, pre-employment background screening to include verification of work history, education, and criminal conviction history.
