Grant Readiness & Capacity Coordinator

The Grant Readiness & Capacity Coordinator supports the Office of Grant Coordination by developing, enhancing, organizing, and maintaining the infrastructure, resources, and technical assistance that strengthen organizational capacity and grant readiness for federal, state, philanthropic, and private funding opportunities. This position serves as the Office’s lead for developing and maintaining the internal infrastructure, systems, and resources that support grant readiness and organizational capacity. Through standardized tools, knowledge management, proposal resources, funding intelligence, organizational processes, and technical assistance, this role equips the Office of Grant Coordination to consistently support divisions and programs while strengthening long-term organizational effectiveness and competitiveness. Success in this role is reflected in the Office’s ability to operate with greater consistency, efficiency, and preparedness through well-designed systems, organized resources, and accessible institutional knowledge . Job Responsibilities Core Responsibilities Grant Readiness Systems Develop, maintain, and continuously improve grant readiness toolkits, templates, checklists, timelines, and standardized resources. Conduct organizational grant readiness assessments and identify opportunities to strengthen organizational preparedness. Develop readiness scorecards, recommendations, and improvement plans that enhance organizational competitiveness. Develop, organize, and maintain proposal libraries, boilerplate language, organizational profiles, and other reusable proposal resources. Organizational Capacity Partner with Office of Grant Coordination staff to identify opportunities for improving organizational readiness, standardization, and grant support processes. Develop and implement standardized grant readiness processes and workflows that improve organizational effectiveness and funding competitiveness. Coordinate grant readiness workshops, learning sessions, technical assistance, and resource development activities. Identify organizational gaps and recommend strategies that strengthen readiness, improve consistency, and increase competitiveness for future funding opportunities. Monitor federal, state, philanthropic, and private funding opportunities relevant to Office priorities. Maintain funding calendars, opportunity tracking systems, and funding intelligence resources. Analyze funding trends, research emerging priorities, and communicate strategic funding opportunities that align with organizational goals and program needs. Support strategic planning activities related to future funding opportunities. Knowledge Management & Organizational Systems Develop, organize, and continuously improve the Office’s centralized repository of proposal resources, templates, organizational boilerplate, best practices, and grant readiness materials. Capture, organize, standardize, and maintain institutional knowledge, lessons learned, tools, and best practices to strengthen the Office’s long-term grant readiness infrastructure. Develop and maintain organizational systems that organize funding intelligence, planning resources, and institutional knowledge to support consistent grant readiness practices. Develop reports, dashboards, readiness metrics, and resource inventories that support organizational planning, continuous improvement, and executive decision‑making. Coordinate internal planning efforts that strengthen organizational consistency, readiness, and continuous improvement across the Office of Grant Coordination. Support proposal planning, sustainability planning, and special projects that advance the Office of Grant Coordination’s strategic priorities. Qualifications Minimum Qualifications Bachelor’s degree in Public Administration, Public Health, Business Administration, Nonprofit Management, Communications, Organizational Leadership, Social Work, or a related field. Two to four years of experience supporting grants, project management, organizational development, public administration, or a related field. Demonstrated organizational, project coordination, and process improvement skills. Strong written and verbal communication skills. Preferred Qualifications Experience supporting grant development, proposal planning, or grant readiness activities. Knowledge of federal grant processes and funding requirements. Experience developing organizational tools, templates, standardized resources, or knowledge management systems. Experience facilitating workshops, technical assistance, or training sessions. Ability to synthesize complex funding guidance into practical tools and organizational resources. Strong analytical skills with the ability to identify organizational gaps and recommend process improvements. Strong attention to detail and the ability to manage multiple priorities simultaneously. Additional Information This is a contract position with the State of Tennessee funded through FY2027. Salary range: $78,000–$101,000 annually. Position based in Nashville, Tennessee. Reports to the Director, Office of Grant Coordination. Occasional travel may be required. #J-18808-Ljbffr
