Executive Administrative Assistant

Scope of Work:

The incumbent provides high-level administrative, operational, and governance support to the President & CEO. This role serves as a trusted partner to the CEO, ensuring seamless execution of executive priorities, effective Board governance processes, and exceptional organizational efficiency. This individual also plays a critical role supporting the Board of Directors by coordinating meetings, maintaining official corporate records, assisting with technology needs, and ensuring compliance with governance standards.

Executive Support:

  • Provide comprehensive administrative support to the President & CEO, including calendar management, meeting coordination and prioritization, and daily operations.
  • Screen, prioritize, and manage incoming communications (e-mail, calls, correspondence), ensuring timely responses or routing appropriately.
  • Track and monitor deadlines for key initiatives and action items.
  • Coordinate special projects, initiatives, and Leadership Team meetings, preparing and reviewing any related materials.

Director Support:

  • Plan and coordinate Board of Directors meetings, including logistics, scheduling, meeting agendas and materials distribution.
  • Responsible for accurately recording and preparing minutes for all Board meetings in accordance with regulatory and governance standards.
  • Maintain official corporate records, including Board resolutions, minutes, and governance documentation.

Administrative Support:

  • Coordinate usage of board management software to support meetings, material distribution, and governance processes, as well as, providing support to directors with associated technology.
  • Oversee travel planning, expense reporting, and logistics for the CEO.
  • Prepare, edit, and manage confidential correspondence, reports, and executive materials.

Other Duties & Responsibilities:

  • Ensures departmental compliance with all applicable policies, procedures, and regulatory requirements.
  • Promotes the Kennebunk Savings Brand by recommending our products and services, supporting our community focus and commitment to being a premier employer.
  • Understands, supports and adheres to applicable organizational policies/procedures and state/federal regulations.
  • Consistently emphasizes the importance of teamwork in the department and company at large.
  • Responsible for keeping abreast of company news and information.
  • Responsible for completing required training and policy review.
  • May serve on various committees.
  • Willingness to take on additional tasks and duties.

Desired Education:

  • Bachelor's Degree preferred or equivalent experience.

Desired Knowledge, Skills & Abilities:

  • Exceptional organizational, time management, and multitasking abilities.
  • Strong written and verbal communication skills, including professional minute-taking.
  • Demonstrated ability to handle highly confidential information with discretion.
  • High level of professionalism and executive presence.
  • Advanced proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel).
  • Experience with Board governance portals (e.g., Govenda) preferred.
  • Trusted partner with sound judgement and discretion.
  • Service oriented approach to supporting leadership and Directors.

Desired Job Experience:

  • Familiarity with senior executive and director responsibilities, ideally in financial services or a regulated industry.

Working Conditions & Minimum Physical Requirements:

  • Physical surroundings are generally pleasant and comfortable with minimal exposure to injury or other hazards.
  • Dexterity of hands and fingers to operate a computer and other office equipment.
  • Lifting and moving of moderately heavy objects on occasion.
  • Normally seated for extended periods of time.
