Position Summary: The Client Service Coordinator partners with Financial Planners to support the wealth management and financial planning needs of our clients. This role serves as a key point of contact for client account-related needs and is responsible for delivering an exceptional client experience while ensuring full compliance with applicable industry regulations and firm policies.

Duties & Responsibilities:

• Deliver responsive, professional, and accurate service to clients across all communications and interactions.
• Build trusted relationships with clients and serve as a reliable resource for their account-related questions and requests.
• Coordinate client meeting preparation, follow-up, and ongoing communication in partnership with Financial Planners.
• Support clients with account access, transaction requests, and life-event needs such as estate and beneficiary matters.

Internal Collaboration

• Work closely with Financial Planners, Operations staff, and the broader team to deliver a coordinated client experience.
• Communicate proactively with team members on status updates, open items, and process improvements.
• Provide back-up coverage and cross-functional support as needed, including for the Front Office Coordinator role and other Client Service Team Members.
• Contribute to a positive, collaborative team culture that reflects the firm's purpose, vision, and values.

Operations & Account Maintenance

• Process account openings, transfers, distributions, and ongoing maintenance requests in accordance with firm policies, custodian procedures, and applicable industry regulations.
• Ensure required client documentation is complete, accurate, and properly maintained throughout the client lifecycle, following established recordkeeping and cybersecurity practices.
• Partner with custodians to resolve service issues, monitor alerts, and ensure timely, accurate completion of client requests.
• Handle client funds, account changes, and sensitive information with care.
• Maintain accurate, well-documented records in firm systems and leverage technology and workflow tools to improve efficiency, accuracy, and the overall client experience.

Qualifications:

• Bachelor's degree preferably in business, marketing, or communications or have applicable related experience
• 1+ years of experience in client service (preferably in the financial services industry with an independent registered investment advisory firm)
• Proficiency in Microsoft Office, experience with CRM, and document management

Schedule: Monday - Thursday 8:00 a.m. to 5:30 p.m., Friday 8:00 a.m. to 3:00 p.m.
