Health Information Specialist I Datavant is the data collaboration platform trusted for healthcare. This is an entry‑level position responsible for processing all Release of Information (ROI) inquiries, specifically medical record requests, in a timely and efficient manner. The Associate ensures accuracy, delivers the highest quality product and customer service, and safeguards the patient’s right to privacy by ensuring that only authorized individuals have access to the patient’s medical information. All releases of information must be in compliance with the request, authorization, company policy, and HIPAA regulations. This is a Hybrid Position in Marshfield, WI Position Highlights Monday‑Friday, 8:00 am – 4:30 pm CST Location: Marshfield, WI Assisting patient walk‑ins Answering phones Processing mail and faxed requests, copying medical records to CD/flash drive Release of Information processing Following HIPAA guidelines Full–time benefits including medical, dental, vision, 401(k), and tuition reimbursement Paid time off (including major holidays) Hybrid work model You will Receive and process requests for patient health information in accordance with company and facility policies and procedures. Maintain confidentiality and security with all privileged information. Maintain working knowledge of company and facility software. Adhere to the company’s code of conduct and policies. Inform manager of work status, site difficulties, and/or fluctuating volumes. Assist with additional work duties or responsibilities as needed. Pay close attention to detail for medical records. Apply medical privacy regulations consistently to guard against unauthorized disclosure. Manage patient health records and ensure compliance with HIPAA standards. Prepare new patient charts, gathering documents and information from paper sources and/or electronic health records. Assemble medical records in standard order, ensuring accuracy and completeness. Create digital images of paperwork for storage in the electronic medical record. Respond to requests for patient records—internally and externally—retrieving and transmitting them appropriately. Answer inbound and outbound calls. Assist with patient walk‑ins. Help with administrative duties such as handling faxes, opening mail, and data entry. Schedule pick‑ups. Assist with training associates in the HIS positions. Generate reports for managers or facilities as directed. Meet or exceed level‑1 productivity expectations as outlined at the specific site. Participate in project teams and committees to advance operational strategies and initiatives. Mentor HIS staff for professional development. Inform senior leadership of issues, opportunities, or challenges. Assist with onboarding activities for new employees. Assist with quality assurance tasks as directed by management. Lead training sessions for staff development. Perform other duties as assigned. What you will bring to the table High School Diploma or GED. Must be 18 years of age or older. Ability to commute between locations as needed. Availability to work overtime during peak seasons. At least 1 year of Health Information related experience. Basic computer proficiency. Comfortable using phones, fax machine, printers, and other general office equipment. Professional verbal and written communication skills in English. Detail and quality oriented regarding accurate and compliant medical records. Strong data entry skills. Ability to work with minimum supervision and respond to changing priorities. Organizational and multitasking abilities. Ability to act swiftly in a fast‑paced environment. Presentation skills for small group settings. Forward‑thinking and problem‑solving ability. Bonus points if 2 + years of Health Information related experience. Meets or exceeds company productivity standards. Previous production/metric‑based work experience. In‑person customer service experience. Ability to build relationships with on‑site clients and customers. Comfortable proposing new ideas, process improvement suggestions, and feedback to internal stakeholders.
