We are looking for a Customer Service Specialist to join our team in Warrendale, Pennsylvania. This position supports customer-facing service operations by managing order-related requests, maintaining accurate records, and helping ensure timely communication across internal teams and customers. The ideal candidate brings strong administrative and customer support experience, stays organized in a fast-paced environment, and handles service inquiries with professionalism and attention to detail.

Responsibilities:
• Enter and revise service orders in company platforms while verifying that all required information is complete and accurate.
• Track active customer cases and follow up on outstanding items in partnership with senior team members or supervisors.
• Help organize onboarding and installation activities by confirming timelines, preparing documentation, and coordinating communication with internal stakeholders.
• Maintain detailed records related to service requests, customer concerns, and events that affect billing activities.
• Communicate progress updates to customers regarding case status, delivery timing, and scheduled service work.
• Review shared inboxes and intake channels, then direct requests to the appropriate operational or technical contacts for resolution.
• Identify issues involving technical complexity, pricing concerns, or non-routine service matters and elevate them to senior staff as needed.• 5+ years of experience in customer service, office administration, or a related support role.
• Background in administrative office functions, including handling documentation and coordinating day-to-day service activities.
• Experience with order entry and updating records with a high level of accuracy.
• Ability to manage customer communications effectively through email, phone, and internal systems.
• Familiarity with accounts payable support or billing-related processes is preferred.
• Experience performing receptionist or front-office style duties in a detail-focused setting is an asset.
• Strong organizational skills with the ability to prioritize multiple tasks and maintain attention to detail.
