Dispensary Manager

The University of Pikeville seeks an organized and service-oriented
Dispensary Manager to oversee the daily operations of the preclinical and clinical dispensaries within the Tanner College of Dental Medicine. This position ensures that dental instruments, equipment, supplies, and materials are available and properly maintained to support preclinical instruction, clinical education, and patient care.

The Dispensary Manager works closely with faculty, staff, students, and vendors to support efficient operations within simulation laboratories, clinical facilities, and affiliated patient care sites.

Responsibilities:

• Manage the daily operations of the preclinical and clinical dispensaries.
• Maintain appropriate inventory levels of dental instruments, supplies, materials, equipment, and educational resources.
• Coordinate the distribution, collection, maintenance, tracking, and replacement of student-issued instruments, equipment, and supplies.
• Support simulation laboratory courses by ensuring preclinical equipment, manikins, handpieces, supplies, and instructional materials are available and functioning properly.
• Work closely with preclinical and clinical faculty to support instructional activities and operational needs.
• Coordinate purchasing, receiving, storage, and distribution of dental supplies and materials.
• Maintain inventory control and asset tracking systems to ensure accuracy, accountability, and cost-effective use of resources.
• Monitor supply usage and assist with inventory forecasting and budget planning.
• Assist with the setup and preparation of simulation laboratory exercises, practical examinations, competency assessments, and faculty calibration activities.
• Maintain accurate records related to inventory, purchasing, equipment maintenance, and supply utilization.
• Oversee the storage and tracking of institutional equipment and assets assigned to students, faculty, and staff.
• Coordinate instrument processing needs with sterilization and infection control personnel.
• Inspect and organize clinical and preclinical equipment to ensure it is ready for educational and patient care activities.
• Monitor equipment maintenance schedules and coordinate repairs as needed.
• Work with vendors and suppliers to obtain quotes, process orders, and resolve supply or equipment issues.
• Assist students, faculty, and staff with obtaining instruments, supplies, and materials needed for educational and clinical activities.
• Assist with onboarding and training students and staff on dispensary procedures, equipment use, and inventory systems.
• Coordinate equipment and supply distribution for community outreach programs, mobile dental clinics, and affiliated clinical education sites.
• Ensure compliance with infection control standards, workplace safety requirements, and University policies.
• Participate in quality improvement initiatives and operational planning.
• Perform other duties as assigned.

Education and Experience Requirements:

• Associate degree or equivalent postsecondary education preferred.
• Previous experience in inventory management, clinical support services, healthcare operations, dental practice operations, or a related field required.
• Three years of progressively responsible experience in a dental, healthcare, educational, or inventory management setting preferred.
• Previous dental assisting experience preferred.
• Graduate of a Commission on Dental Accreditation (CODA)-accredited Dental Assisting Program preferred.
• Certified Dental Assistant (CDA) credential preferred.

Skills and Qualifications:

• Knowledge of dental instruments, materials, supplies, and equipment used in preclinical and clinical settings.
• Understanding of inventory control, purchasing, asset management, and supply distribution processes.
• Knowledge of infection control, sterilization, and workplace safety practices.
• Ability to manage inventory, purchasing, equipment tracking, and supply distribution accurately and efficiently.
• Ability to maintain accurate records and documentation.
• Strong organizational, time management, and problem-solving skills.
• Strong customer service and communication skills.
• Ability to manage multiple priorities while maintaining attention to detail.
• Ability to work effectively with students, faculty, staff, vendors, and other campus partners.
• Ability to work in a fast-paced academic and clinical environment.
• Ability to identify operational improvements and support efficient use of resources.
• Proficiency with Microsoft Office and related software applications.
• Experience with computerized inventory systems, electronic health records, or practice management software preferred.

Preferred Qualifications:

• Experience working in a dental school, academic health center, community health center, hospital-based dental clinic, or large group dental practice.
• Experience with dental inventory management systems and clinical supply chain operations.
• Familiarity with dental education, simulation laboratories, and student clinical training.
• Experience supporting mobile dental clinics, outreach programs, or multiple clinical locations.
