Lease Administrator (Commercial)

About the Role
We are seeking a detail-oriented Lease Administrator to manage the complete lease life cycle across our commercial property portfolio. In this role, you will leverage your commercial real estate expertise to interpret complex lease agreements, manage data integrity in MRI Software, and drive accurate CAM billings and annual reconciliations. You will serve as a key liaison between Property Management, Accounting, and tenants to keep portfolio operations aligned and audit-ready.
Key Responsibilities
- Lease Abstraction & MRI Data Management: Abstract, input, and update lease terms, critical dates, rent schedules, and options in MRI Software to maintain accurate property databases.
- CAM Billings & Reconciliations: Prepare monthly/annual CAM billings and perform full annual reconciliations, including pro-rata share calculations, expense recovery analysis, and tenant true-up statements.
- Lease Interpretation & Compliance: Analyze complex commercial lease terms, caps, exclusions, and gross-up provisions to enforce accurate billing for CAM, real estate taxes, and insurance.
- Tenant & Interdepartmental Coordination: Serve as the primary point of contact for tenant CAM inquiries or disputes; collaborate with Property Managers and Accountants to align lease data with budgets and audit standards.
- Critical Date Tracking: Monitor renewal options, rent escalations, and expiration dates, ensuring key stakeholders are informed well in advance.
- Financial Reporting & Audit Support: Assist with budget forecasting, track historical expense trends, maintain organized tenant ledgers, and provide audit-ready documentation for internal/external reviews.
Qualifications
- Experience: 3+ years of commercial lease administration experience (Office, Retail, or Industrial).
- Software: MRI Software proficiency required (experience with MRI lease abstraction modules preferred).
- Technical Skills: Advanced Microsoft Excel proficiency (VLOOKUP/XLOOKUP, PivotTables, complex reconciliation modeling).
- Core Competencies: Proven mastery of CAM billing, annual reconciliations, pro-rata calculations, and commercial lease terminology (caps, recoveries, exclusions).
- Communication & Organization: Strong analytical skills paired with professional written/verbal communication for tenant-facing resolution.
- Education: Bachelor’s degree in Business, Finance, Accounting, or Real Estate preferred (or equivalent professional experience).
