Administrative Assistant

The Administrative Assistant provides comprehensive support to the Chief Development Officer and operational support to designated managers, including data and report management, communication preparation and distribution, program administration, and general office and departmental support.

Essential duties and responsibilities include:

1. Providing comprehensive administrative support to the Development Officer and operational support to designated managers.
2. Supporting staff by arranging conferences and meetings, coordinating with participants, and preparing agendas.
3. Organizing, filing, and maintaining all department-related records and documents.
4. Scheduling meetings and coordinating related to logistics for the department.
5. Assisting in preparing and distributing communication materials.
6. Processing department invoices and maintaining related documentation.
7. Preparing presentations, reports, and other departmental materials.
8. Ordering and maintaining department supplies and other necessary materials.
9. Coordinating travel arrangements and managing the department calendar.
10. Responding to general employee inquiries and providing customer service support.
11. Providing administrative assistance to other departments when needed.
12. Performing other duties as assigned.

Other responsibilities include:

1. Adhering to applicable regulatory requirements, organizational policies and procedures, and departmental guidelines.

Qualifications:

Education and experience: A high school diploma is required; an associate degree in administration or some college coursework is preferred. Three to five years of experience in an office environment or administrative support role is required, or an equivalent combination of education, training, and experience.

Knowledge, skills and abilities:

• Advanced verbal and written communication skills; ability to effectively communicate with employees, customers, vendors and/or others as required.
• Ability to apply reasonable understanding in carrying out instructions in written, oral or diagram form.
• Ability to define problems, collect data, establish facts, and draw valid conclusions.
• Must maintain confidentiality and secure confidential documents and records.
• Must be proficient with programs such as Microsoft Office Suite
• Must maintain a high degree of accuracy in data entry.
• Ability to handle competing priorities in a fast-paced environment.
• Must be detail oriented and organized.
• Strong interpersonal skills, service orientation, and ability to work effectively with others.

Physical demands:

• Occasionally required to lift and/or move up to 10 pounds

Work environment:

• In Office/Hybrid
• Work is primarily in a climate-controlled restaurant, office or airport facility with moderate noise level
