Program Operations Coordinator

Kaleidoscope ABA Autism Therapy Services

Program Operations Coordinator Location: Chandler, AZ Overview The Clinic Coordinator will be involved in many facets of center operations, including day‑to‑day staff and services management, recruitment, scheduling, customer service, reporting, and general administrative tasks. They will maintain accurate staffing and service records, manage a master schedule, support HR, Operations, and Clinical departments, and serve as the primary liaison between administrative and clinical staff. Responsibilities Manage day‑to‑day staff and services operations. Recruit, schedule, and support staff. Handle customer service requests and reporting. Maintain accurate records for staffing and service delivery. Coordinate and maintain a master schedule aligned with budgeted hours per client. Support HR, Operations, and Clinical departments. Act as liaison between administrative and clinical staff, managing case assignment and staff availability. Perform additional duties as assigned by the company. Qualifications Accident‑free performance of essential duties and ability to adapt to change. Professional knowledge and experience in business operations, growth and development, staff scheduling, personnel management, customer acquisition, and related operations. High ethical conduct and confidentiality. Honesty and integrity. Effective communication with internal and external clients. Education: Bachelor’s degree (preferred Marketing, Business Administration, or Healthcare Management) or equivalent work experience. Experience: 5 years of management in a professional setting, preferably in medical, behavioral health, PT, OT, or similar office operations. Experience building and retaining customers. 5 to 7 years managing and developing staff. Prior practice managers and retail managers encouraged to apply. Skills & Abilities: Strong rapport‑building, sense of urgency, independent goal achievement, excellent time management, multi‑tasking, prioritization, attention to detail, consistent process administration, superb communication, listening skills, professional appearance. Computer Skills: Proficient in Microsoft Office (Word, Excel, PowerPoint), Outlook, database use, accurate record keeping. Working Conditions: Exposure to intermittent sounds, occasional stress, full‑time hours 7:30 a.m. to 5:00 p.m., and availability to read and respond to emails outside working hours.
