About the Role

As the Patient Experience Coordinator, you will be the first point of contact for our patients, setting the tone for their entire experience. Your role is to create a welcoming, professional, and attentive environment while ensuring every patient interaction reflects the exceptional level of service Skin Dermatology is known for.

Beyond traditional front desk responsibilities, you will play a critical role in coordinating the patient journey by scheduling appointments, verifying insurance eligibility and benefits, obtaining referrals, communicating financial responsibilities, and helping patients navigate their care with confidence. Key Responsibilities

• Serve as the first point of contact at the front desk, providing a warm, professional welcome to all patients.
• Answer incoming calls and patient messages while providing exceptional customer service and ensuring every patient feels valued and supported.
• Schedule, reschedule, and coordinate patient appointments to maximize provider efficiency and patient convenience.
• Verify insurance eligibility, benefits, and demographic information prior to appointments.
• Obtain and manage insurance referrals and assist with prior authorization processes as needed.
• Educate patients on insurance requirements, copayments, deductibles, coinsurance, and self-pay options.
• Collect patient payments and maintain accurate financial records.
• Maintain accurate patient registration and ensure all required documentation is complete.
• Coordinate patient flow to provide an efficient and seamless office experience.
• Assist with office operations, including inventory management, office equipment coordination, and administrative projects.
• Collaborate closely with clinical and administrative teams to deliver an exceptional patient experience.
• Proactively identify and resolve patient concerns while ensuring every interaction reflects Skin Dermatology's commitment to exceptional service.
• Maintain the confidentiality of patient information and comply with HIPAA and all applicable privacy regulations.

Qualifications

• Previous experience as a Medical Receptionist, Front Desk Coordinator, Patient Services Representative, Patient Access Representative, Medical Office Assistant, or in another high-end customer service environment is preferred.
• Experience working with insurance verification, referrals, or electronic medical records is a plus.
• Outstanding communication, organizational, and multitasking skills.
• Exceptional attention to detail and commitment to accuracy.
• Professional, polished demeanor with a genuine passion for delivering outstanding patient care.
• Ability to work independently while thriving in a collaborative team environment.
