Duties

• Provide comprehensive executive administrative support to senior healthcare executives, including managing calendars, scheduling appointments, and coordinating meetings.

• Organize and plan events such as conferences, staff trainings, and community outreach programs with attention to detail and efficiency.

• Handle internal communication channels to ensure timely dissemination of information across teams and departments.

• Manage travel arrangements for executives, including booking flights, accommodations, transportation, and preparing detailed itineraries.

• Utilize productivity software such as Microsoft Office Suite (Word, Excel, PowerPoint) and video conferencing tools to prepare reports, presentations, and facilitate virtual meetings.

• Perform data entry, bookkeeping tasks using QuickBooks or similar accounting software, and maintain accurate records of financial transactions.

• Collaborate closely with C-suite executives on project coordination efforts to ensure timely completion of initiatives.

• Proofread documents for clarity and accuracy while maintaining professional tone; assist with writing correspondence as needed.

• Use technical tools like DocuSign for electronic signatures and manage business travel logistics efficiently.

Qualifications

• Proven experience as an executive assistant or personal assistant within a healthcare or corporate setting.

• Strong organizational skills with the ability to manage multiple priorities effectively in a fast-paced environment.

• Excellent communication skills—both written and verbal—and professional phone etiquette.

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook), productivity software, video conferencing platforms (e.g., Zoom or Teams), and data entry tools.

• Experience with bookkeeping using QuickBooks or similar financial management software.

• Demonstrated ability to handle confidential information responsibly with integrity.

• Skilled in event planning, project coordination, office management, and internal communication strategies.

• Ability to work collaboratively with diverse teams including C-suite executives and healthcare professionals.

• Technical proficiency in managing calendars via Microsoft Outlook Calendar or similar tools; familiarity with DocuSign is a plus.

• Strong typing skills combined with excellent proofreading abilities to produce polished documents quickly.
