ACCOUNTING CLERK

Department: Accounting

Reports to: VP of Accounting and Finance

Division: Hybrid

Classification: Hourly/Nonexempt/Part -Time

JOB SUMMARY :

Responsible for maintaining essential accounting tasks to ensure accurate and efficient record-keeping. Facilitates customer invoices, vendor payables, and supports the Accounting Team with general clerical duties.

ESSENTIAL FUNCTIONS

1. Assists with sorting and entering accounts receivable transactions and invoice mailings
2. Provides Milsofts ACH/EFT information to customers and assists with entering accounts receivable ACH/EFT and paper check payments in Milsofts accounting software
3. Makes daily post-office visits and prepares daily bank deposits
4. Assists with creating accounts receivable invoices and mails monthly invoices to customers
5. Works with customers to resolve outstanding accounts
6. Assists with updating customer and vendor account information in Milsofts accounting software and CRM system to ensure information is accurate and up to date
7. Records customer support transactions, subscriptions, and cancellations for billing and reporting purposes
8. Prepares W-9s for customers and requests W-9s from vendors
9. Requests and stores Customer Tax Exemption Certificates as necessary
10. Assists with reporting and paying state sales and use taxes
11. Assists with variable data reporting
12. Assists with monthly credit card reconciliation
13. Maintains consistent and professional attendance, appearance, and punctuality, and adheres to health and safety standards
14. Upholds, safeguards, and promotes Milsofts values and philosophy, relating particularly to ethics, integrity, and corporate responsibility.
15. Other job duties as assigned

QUALIFICATIONS

• Bachelor's degree is preferred, and/or at least five years of related experience and/or training.
• Must exhibit a high level of trustworthiness and be able to maintain confidentiality
• Superior organizational skills with close attention to detail and accuracy
• Must possess good citizenship traits when dealing with customers and co-workers
• Excellent verbal and written communication skills are a must
• Must possess superb teamwork skills and be able to navigate diverse personalities successfully
• Basic computer skills are required. Knowledge of QuickBooks is desirable.
