Sales Coordinator

Lucky Stitch, the custom embroidery division of Kelli's, is looking for a detail-oriented Sales Coordinator to support our sales team and customers throughout the promotional products and custom decoration process. This position coordinates between sales, customers, suppliers, artwork, production, and shipping to ensure orders are accurate, on time, and meet customer expectations.

The ideal candidate is organized, responsive, customer-focused, and able to manage multiple projects and deadlines in a fast-paced environment.

Responsibilities

• Support the sales team with customer requests, quotes, product information, pricing, and availability.
• Enter and maintain accurate customer, product, and order information.
• Set up new customer accounts, including billing, shipping, payment information, and contacts.
• Process and review customer orders and purchase orders for accuracy.
• Coordinate product specifications, pricing, artwork, quantities, and delivery requirements.
• Collect customer artwork and brand guidelines and maintain organized files.
• Coordinate with suppliers to confirm pricing, inventory, order acknowledgments, and ship dates.
• Track orders from placement through delivery and communicate updates or delays.
• Follow up on open quotes, pending approvals, and customer decisions.
• Track artwork proofs and ensure approved artwork is used for production.
• Confirm embroidery specifications, including logo placement, sizing, thread colors, and garment details.
• Coordinate rush and time-sensitive orders.
• Help resolve product, artwork, production, shipping, and fulfillment issues.
• Maintain accurate customer, supplier, product, and project records.
• Assist with sales meetings, customer presentations, product research, and promotional projects as needed.
• Other responsibilities as needed

Requirements

Qualifications

• High School diploma or equivalent, preferably Associates or Bachelors in relevant course-work
• Previous experience in sales support, customer service, order management, or a similar role.
• Strong organizational and time-management skills.
• Excellent attention to detail and follow-through.
• Strong written and verbal communication skills.
• Ability to manage multiple projects and deadlines in a fast-paced environment.
• Strong customer-service mindset and ability to work effectively with customers, sales, vendors, and internal teams.
• Proficiency with Microsoft Office and the ability to learn new systems quickly.
• Experience with promotional products, apparel, embroidery, or custom decoration is a plus.
