Job Description: AmeriCorps Retired & Senior Volunteer Program (RSVP) Project Coordinator
Employment is contingent upon the availability and continuation of federal and/or state funds. Future Builders, Inc. does not control the duration or renewal of these funds, and therefore, the position may end if funding is reduced or discontinued.
To be considered for a face-to-face interview, applicants must complete Phase I of the application process. After submitting an application, candidates will receive an email from Criteria requesting completion of required assessments and a short video interview. Completion of Phase I is required for further consideration. Applications with incomplete Phase I requirements will not move forward in the hiring process.

ABOUT THE PROGRAM
The AmeriCorps Retired and Senior Volunteer Program (RSVP) is one of the largest volunteer networks in the nation for individuals aged 55 and older. Through RSVP, older adults contribute their time, skills, and life experience to address critical needs in their communities. Volunteers serve in a variety of roles across focus areas such as Healthy Futures, Environmental Stewardship, Education, and Other Community Priorities, supporting both short-term projects and long-term initiatives. RSVP offers flexible opportunities that align with volunteers interests, availability, and expertisewhether theyre mentoring youth, delivering meals, offering administrative support, or helping with disaster response. RSVP Project Coordinators play a key role in implementing local programs by recruiting, placing, training, and supporting volunteers, managing relationships with partner organizations (also called stations), and ensuring compliance with both federal grant guidelines and organizational policies. The goal is to foster meaningful service experiences that benefit communities while helping older adults stay active, engaged, and connected.

POSITION SUMMARY
Future Builders, Inc. is seeking a respectful, organized, and initiative-driven individual to serve as the AmeriCorps Seniors Project Coordinator. The Project Coordinator plays a critical role in advancing the AmeriCorps Seniors Retired and Senior Volunteer Program (RSVP). This position is responsible for recruiting, placing, and supporting volunteers aged 55 and older in meaningful service opportunities that address local needs in areas such as Healthy Futures, Economic Opportunity, Education, and other community priorities.
While RSVP has an established foundation, it is also in a phase of renewal and continuous improvement. The Coordinator will contribute to strengthening and expanding the program by refining systems, cultivating community partnerships, enhancing volunteer engagement, and ensuring compliance with federal grant requirements. This includes supporting both the day-to-day operations and the long-term vision for sustainable growth.
The ideal candidate is self-motivated and community-minded, with the professionalism to manage administrative responsibilities and the creativity to help shape a high-impact, values-driven program. As part of a small and collaborative team, the Coordinator helps ensure that older adults remain active, connected, and empowered to make lasting contributions in their communities.
KEY RESPONSIBILITIES (include but are not limited to)
Volunteer Recruitment & Support
- Recruit, screen, and place volunteers aged 55+ in meaningful service roles across designated counties
- Conduct volunteer orientations and provide ongoing support, encouragement, and recognition
- Track and enter volunteer hours in volunteer system, service types, and impact using internal databases and JotForm
- Ensure consistent outreach and follow-up, including to those who initially decline participation
- Maintain respectful and clear communication while honoring volunteer autonomy
- Send monthly volunteer hour reporting sheets and follow up on submissions
- Mail thank-you cards, birthday greetings, or get-well-soon notes to volunteers as appropriate
Station Development & Management
- Build relationships with community-based organizations to serve as volunteer stations
- Create, monitor, and maintain Memorandums of Understanding (MOUs) with each station
- Conduct station assessments and ensure compliance with AmeriCorps regulations
- Collaborate with stations to identify and develop appropriate service opportunities
- Check in with stations quarterly outside of regular hour-reporting communications
- Use the Station Touch Base form to assess placement effectiveness and address concerns
Outreach, Communications & Public Relations
- Represent RSVP at public events, community meetings, and outreach activities
- Design and distribute outreach materials using Canva or Microsoft Word
- Update and coordinate a shared calendar of events, meetings, and outreach opportunities
- Communicate new volunteer opportunities through e-blasts, flyers, phone calls, or mailouts
- Respond to volunteer and station inquiries via phone, email, and in-person visits
- Follow RSVP standards by avoiding prohibited discussions during official engagements
Event Planning & Support
- Assist with planning, logistics, setup, and breakdown of events such as volunteer fairs, recognition ceremonies, and service days
- Order, pick up, and organize supplies and materials needed for events
- Maintain event checklists, signage, and logistics documentation in collaboration with the Project Director
- Support special events by preparing invitations, name tags, printed materials, and decorations
Administrative & Office Support
- Check and respond to emails promptly using Outlook
- Answer and return phone calls, including responding to voicemails from volunteers and stations
- Enter volunteer hours and data into relevant systems accurately and in a timely manner
- Prepare and submit monthly reports on time, including mileage reimbursement forms and QuickBooks entries
- Clock in and out each day and maintain detailed work logs in QuickBooks
- Maintain accurate, organized files and digital records related to RSVP operations
- Assist with office upkeep, organizing supplies, and managing low-traffic office periods productively
Team Collaboration & Organizational Culture
- Work closely with the Project Director in a small team environment to meet program goals
- Maintain a united and professional presence when engaging with community partners and volunteers
- Uphold workplace boundaries, show respect for leadership, and avoid gossip or undermining behavior

- Follow all deadlines and expectations outlined in the Plan of Action and federal grant requirements

QUALIFICATIONS
Required:
- High school diploma or equivalent required; relevant work experience will be considered in lieu of formal education
- Strong organizational skills and ability to manage multiple priorities with attention to detail
- Effective verbal and written communication skills for working with diverse stakeholders
- Proficiency with basic office software (e.g., Microsoft Word, Excel, Outlook) and a willingness to learn additional platforms such as Canva, Monday.com, QuickBooks, Dropbox, and JotForm
- Ability to work independently and manage time responsibly without constant oversight
- Reliable transportation, valid drivers license, and a willingness to travel throughout the service region
- Ability to lift up to 25 lbs. and assist with light physical tasks related to outreach and events
- Willingness to undergo required background checks per AmeriCorps program standards
Preferred:
- Associate or bachelors degree in business administration, communications, organizational leadership, non-profit management, public administration, human services, education, or a related field
- 12 years of experience in volunteer management, non-profit coordination, or community outreach
- Familiarity with AmeriCorps Seniors, national service, or community-based volunteer programs
- Experience working with or supporting older adults
- Comfort navigating rural communities and building relationships across diverse populations
