WD Matthews Machinery Co. is looking for a Service Billing Administrator to join our Auburn, ME team! This position is an integral part of the Service Department and processes all service bills. The ideal applicant will have a high level of computer ability, and be motivated to work as part of a team to achieve company goals. Accuracy and attention to detail are required in billing operations. This individual will report directly to the Field Service Manager and is responsible for creating Service and Rental invoices and distribute them to our customers in various manners.

Essential Duties and Responsibilities

• Assist in invoicing efforts and managing information and paperwork
• Compare service and rental orders with shipping documents and time cards to make sure customer invoices are accurate and complete
• Review data and correct discrepancies
• Enter and analyze data into trade specific software platforms
• Establish and maintain various records
• Create vendor invoices from technician-submitted outside purchase slips
• Maintain a daily work log to support billing accuracy, workload tracking, and process accountability.
• Apply Toyota Lean Management principles to identify waste, improve workflow efficiency, and support continuous process improvement initiatives
• Demonstrate strong follow-through by tracking open items to completion and ensuring billing tasks are resolved in a timely manner. These additions emphasize accountability, ownership of open issues, and the persistence required to keep work orders moving toward invoicing and completion.
• Strong computer skills are required, including Microsoft Office, Tinnacity, and Microsoft Dynamics 365 Business Central

Experience and Skill Requirements

• Two years of experience with payroll, service billing and/or related activities
• Computer skills in Excel, Microsoft Word and Navision
• Knowledge of billing principles and procedures
• Knowledge of modern office practices, procedures and equipment
• Ability to perform complex billing work accurately
• Ability to rapidly acquire considerable knowledge of administrative, operational, and procedural regulations and practices
