Project Specialist

Job location - Provo, UT

Reports to - Director of Human Resources

Job purpose Alpine Air is currently seeking a full-time Project Specialist to be located at their Provo company headquarters site. They will be responsible for administrative duties related to the Company's Insurance program, Travel program, property leases, vehicle record-keeping, and miscellaneous projects.

Duties and responsibilities The selected applicant will be responsible for but not limited to the following duties:

  • Insurance
    • Submit renewal applications
    • Review policies for accuracy and familiarization
    • Update brokers with changes to policies (e.g. adding vehicles)
    • Monthly, amortize premiums
    • Throughout year, track information insurance requires (e.g. location of vehicles, valuation of aircrafts)
    • Submit documentation for claims
  • Travel
    • Monitor data sync to/from platform
    • Review reports for cost-efficiency
    • Obtain receipts from vendors and log travel expenses in platform
    • Update TMC with changes to Alpine's travel policy and anticipated needs
    • Manage user permissions in platform
    • Maintain Alpine's travel rewards accounts and keep up with negotiated rate contracts
  • Property Leases
    • Coordinate property search, move-ins, move-outs, and mx requests
    • Maintain lease records
    • Negotiate renewals
    • Ensure expenses related to leases (including utilities) are accurate and in compliance with ASC 842
  • Vehicle Record Keeping
    • Maintain fleet maintenance and location log
    • Maintain vehicle paperwork
    • Coordinate registration renewals
    • Coordinate titling
    • Manage user permissions and maintain data integrity of platform

Qualifications Qualifications include:

  • Great attitude and friendly demeanor
  • 0-2 years of experience in Data Entry
  • Preferred admin or assistant experience
  • Excellent time management skills and ability to multi-task and prioritize work
  • Strong organizational and planning skills
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Must be able to type 50 WPM and have intermediate computer skills, including experience with Microsoft Excel
  • High school diploma or GED required; BS/BA in administration or relevant field will be preferred

Working conditions While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts, fumes, toxic chemicals, and heat. The noise level in the work environment is usually low. This position is a Full-Time position, working 35-40 hours per week.
