Clinical Downtime Coordinator - Nursing Administration

Job Description

Primary Purpose:
Assess, coordinate and operationalize extended downtime readiness across clinical departments and lead training and real-time workflow coordination during cyber incidents.

Develop and Maintain department & system-level continuity plans

Conduct downtime drills

Ensure documentation and audit readiness

Conduct clinical workflow testing

Educate and train clinical staff on downtime processes

Proactive Responsibilities

• Maintain department & specialty-specific downtime binders and procedures
• Server as Chair/Co-Chair of Extended Downtime Readiness Committee
• Conduct tabletop exercises and live downtime drills
• Partner with Nursing, Pharmacy, Lab, Radiology, Registration, etc... to refine manual clinical workflows
• Audit clinical downtime readiness quarterly
• Train new clinical leaders and staff as needed on extended outage procedures
• Maintain clinical downtime communication templates along with Communications & Marketing
• Coordinate with IT on system/equipment restoration prioritization matrix
• Track corrective actions from previous incidents
• Survey Readiness/Emergency Management

During Extended Cyber Downtime

• Serve as the Operational Downtime Lead on-site and provide updates to Clinical Section Chief in Incident Command
• Coordinate manual documentation workflows
• Track operational/clinical impacts across departments
• Provide situational updates to leadership
• Monitor safety risks related to downtime
• Document clinical event timeline for after-action review

Role Summary:

The Clinical Downtime Coordinator supports system-wide clinical preparedness and response to extended system downtimes, including cyber incidents. This role coordinates clinical departmental downtime readiness, delivers ongoing staff training, and assists Incident Command by leading clinical workflow coordination during prolonged outages.

Key Responsibilities:

• Develop and maintain clinical departmental downtime and business continuity playbooks.
• Conduct quarterly downtime exercises across clinical and non-clinical areas, as appropriate.
• Deliver annual cyber-downtime training for clinical leaders and frontline staff.
• Maintain real-time readiness dashboards and documentation.
• Serve as operational liaison between IT, clinical leadership, and executive teams during cyber incidents.
• Track and trend downtime-related clinical safety risks and improvement opportunities.
• Lead post-incident after-action reporting and corrective action follow-up for events occurring in clinical care.

Ideal Background:

• Registered Nurse, informatics specialist, or emergency preparedness professional
• 3-7 years hospital clinical operations experience
• Strong facilitation and project management skills
• Experience with clinical downtime workflows preferred
