Project Accountant

This Project Accountant role supports a growing construction services firm in Lynnwood, WA on a 3-month contract. The position focuses on full-cycle project billing, job costing, and contract compliance, ensuring accurate, timely invoicing and strong financial controls for multiple construction projects in a hybrid work setting.

Responsibilities

• Prepare and distribute project invoices based on contract terms, incurred costs, and schedules of values.
• Review and interpret detailed job cost data to confirm that all applicable costs are accurately captured.
• Submit invoices for internal approval prior to distribution to clients.
• Create job cost substantiations and maintain thorough supporting documentation for each project.
• Process incoming and outgoing contract documents, billing requests, and project correspondence in a timely manner.
• Review contracts and proposals to identify billing terms, rates, and allowable charges, ensuring alignment with company policies.
• Review and process subcontractor documentation to ensure contractual and billing compliance.
• Maintain accurate project phase codes and billing templates to support consistent and reliable reporting.
• Assemble and submit administrative documents such as certified payrolls, union affidavits, and work recovery reports.
• Process requests for insurance certificates associated with project and contract requirements.
• Conduct professional and courteous collections follow-up, reconcile billing and payment discrepancies, and escalate issues when necessary.
• Manage tier releases and related documentation to facilitate timely customer payments.
• Calculate billing rates in accordance with established company policies and procedures.
• Prepare supporting documentation and reports for external billing audits and other financial reviews.
• Communicate effectively with general contractors, subcontractors, project managers, and internal departments to support accurate project accounting.
• Ensure consistent, punctual attendance and reliable availability as an essential part of the role.

Essential Skills

• Minimum of 3 years of experience in billing, accounting, or a related field, preferably within the construction industry.
• Hands-on experience with project accounting and job costing in a construction environment.
• Strong understanding of general ledger accounting and reconciliations.
• Experience with accounts payable processes and subcontractor billing.
• Proficiency with accounting software, including construction-focused systems such as Vista.
• Intermediate proficiency in Microsoft Excel, including working with spreadsheets and reports.
• Ability to interpret contract language to ensure accurate billing and compliance.
• Strong written and verbal communication skills across multiple platforms.
• Excellent organizational and time management skills, with the ability to manage multiple projects and deadlines.
• Strong analytical and problem-solving skills applied to job costing, reconciliations, and billing issues.
• Ability to handle confidential financial and contractual information with discretion.
• Ability to work independently while also collaborating effectively as part of a team.
• High level of professionalism and ethical conduct in all interactions.

Additional Skills & Qualifications

• Experience with construction accounting practices, including certified payrolls, union affidavits, and work recovery reporting.
• Familiarity with month-end close activities, including journal entries and reconciliations.
• Proficiency with Microsoft Office applications beyond Excel, such as Word and Outlook.
• Experience preparing documentation and reports for external billing audits.
• Strong interpersonal skills with the ability to develop positive working relationships with internal and external stakeholders.
• Flexibility to adapt to shifting priorities, evolving project requirements, and changing deadlines.
• Comfort working with reporting tools to generate, review, and analyze project financial reports.

Work Environment

The role is based in Lynnwood, WA in a hybrid work environment, typically working onsite four days per week with Fridays remote. Once fully trained, there is potential to transition to three days onsite per week. You will work closely with a collaborative accounting team that includes accounts payable professionals and other project accountants, supporting multiple active construction projects. The environment is professional, fast-paced, and deadline-driven, with regular use of accounting software, Vista, Microsoft Excel, and other Microsoft Office tools. The position involves frequent communication with project managers, general contractors, subcontractors, and internal departments, and requires reliable attendance and a high level of professionalism.

Pay and Benefits

The pay range for this position is $38.00 - $43.25/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
