POSITION OVERVIEW Under supervision of the Program Director, the Practice Manager- Front Desk is responsible for the organization and coordinating of the front desk staff, scheduling, and all functions of the front desk in order to ensure organization effectiveness and efficiency. KEY ESSENTIAL FUNCTIONS Ensures the office runs smoothly working collaboratively and maintaining an upbeat, positive attitude and other administrative activities that support the function of the office as assigned by the Program Director. Supervise the activities, scheduling and flow of all functions of the front desk staff. Handle client comments, questions, concerns, and grievances. Keep front office area neat, clean and orderly in order to maintain the image and standards of the agency and program. Report maintenance requests to the maintenance department as soon as possible and follow up to make sure issues are handled. Connect with MIS for needed support from staff. Coordinates the day to day operations of the mental health services. Provides administrative support of the billing to ensure the input and transmission of all data for proper and timely billing. Also, ensures the completion of all documentation required for timely reimbursements and collections. Assists with scheduling to ensure optimal staffing during facility operation hours. Assists with the scheduling of cases, meeting and conferences and the assignment of rooms for health care providers. Assists and ensure the pre-admission documentation for all new clinical referrals are completed with accuracy. Maintains all charts, files and administrative records. Conducts audits for quality assurance and accountability. Provides necessary reports, records, and statistics as required by the program Orders and maintains all office supplies, forms and equipment. Maintains the mail delivery system. Maintains that the facility stays in compliance with all Federal and State regulatory agencies regulations and guidelines as well as maintain all organization policy and procedures. Performs other related duties as required REQUIREMENTS 3+ years previous relevant experience in Administrative required. High School Diploma required, BA preferred. Must be team oriented and possess a positive attitude with a willingness to be flexible and helpful. Must be able to multi-task with strong organizational skills. Excellent interpersonal skills and able to communicate both verbally and in written form. Commitment to cultural diversity and sensitivity.
