The Case Coordinator helps ensure the organization operates efficiently and effectively by providing dependable administrative and office support across Case Management, Operations, and other assigned areas. The role requires flexibility, enthusiasm, attention to detail, and ownership of high-quality work products.

Essential Duties & Responsibilities:

• Efficiently and effectively use information systems, software applications, and designated business websites to research information, prepare and maintain files, and complete assigned responsibilities.
• Schedule appointments and obtain medical records.
• Purchase patient supplies and medical equipment.
• Schedule and coordinate patient transportation.
• Retrieve, send, and maintain medical records.
• Review and forward correspondence as appropriate.
• Maintain accurate electronic and paper files.
• Under general supervision, obtain, maintain, distribute, and submit documentation and records; research medical information; assess information for validity and usefulness; maintain filing of correspondence, documents, and reports; and provide assigned materials to team members and customers accurately and promptly.
• Communicate professionally in person, by email, and by telephone. Route incoming calls to the appropriate team member and make outgoing calls to physicians, patients, customers, vendors, and other external business contacts to obtain or provide information.
• Contribute actively to team success by providing assistance to colleagues and supporting special company projects as directed.
• Perform other similar, related, or assigned responsibilities as the organization grows and business needs evolve.

• Ability to apply prior administrative knowledge when learning new and increasingly advanced responsibilities.

Education & Technical Requirements:

• High school diploma or equivalent required; associate degree preferred.
• Minimum of five years of administrative office experience, preferably in a medical office, insurance, or legal setting, with a demonstrated history of high-level administrative work.
• Proficiency in English and Mathematics required.
• Experience with Microsoft Office Suite preferred.
• Experience with Salesforce or similar business applications required.

Location:

• This position is in the office on a full-time basis. The office is located at 23 Main Street in Belchertown, MA 01007.
