University of California College of the Law San Francisco is home to a top-ranked health law program, which is supported by the UCSF - UC Law Consortium on Law, Science & Health Policy (“Consortium”). Founded in 2008, the Consortium leverages law and policy to address the conditions in health care systems and society that together enable health and well-being. The Consortium envisions a world in which all individuals and communities can attain the highest level of health possible, defined on their own terms. To this end, the Consortium builds multidisciplinary and multistakeholder collaborations among faculty and students of UCSF and UC Law SF and the patients, clients, communities, and organizations we serve alongside. THE ROLE and responsibilities
The Program Manager is considered a core member of the Consortium's staff and leadership team. The Program Manager proactively manages events, communications, and operations for the Consortium. The successful candidate will be a warm, friendly, and people-oriented self-starter with excellent communication, interpersonal, and customer service skills; be punctual; have a desire to learn; and can prioritize assignments and produce output effectively and efficiently. The Program Manager should be comfortable working in a fast-paced environment--both independently and as part of a team--and have the organizational skills and judgment necessary to establish priorities and meet multiple deadlines while managing communications, collaborating across departments, maintaining schedules, and providing project-based support as needed. The Program Manager is directly supervised by the Associate Director of the Consortium and Associate Dean. In addition, the Program Manager is expected to work collaboratively and effectively with Consortium and HPL fellows, research assistants, affiliated faculty and program stakeholders in the community.
Typical duties and responsibilities consist of, but are not limited to, the following:
Communications
- · Proactively manage communications to Consortium stakeholders across multiple channels, including planning, drafting, and posting materials using iContact, Canvas, Outlook, Consortium social media, and the UC Law Intranet;
- · Keeping Consortium and HPL websites up-to-date and making changes as necessary, with support of UC Law IT;
- · Managing communications with prospective HPL students using Outlook, including emptying inbox daily;
Events
- Managing all online and in person event planning and logistics, from speaker logistics to identifying appropriate space and setup or Zoom, room reservations, catering, Facilities and HelpDesk set up, security co-ordination, etc.;
- Assisting with the RFP (request for proposals) process around Health Justice Series events, including updating annual RFP materials, collecting and summarizing proposals, and assisting the Associate Dean and Consortium Advisory Board with review process;
- Planning and coordinating Consortium Advisory Board meetings;
- Serving as a resource for student organizations co-hosting events and other activities with the Consortium;
General Operations
- Tracking event and other operating expenses within annual budget, preparing reimbursements and check request forms, creating purchase orders and coordinating contracts with the Purchasing Office, and related tasks;
- Maintaining knowledge of College and Consortium policies and procedures;
- Serving as primary point of contact for scheduling and coordinating Consortium meetings with faculty, staff, students and community stakeholders and managing the calendar of the Associate Dean, utilizing Microsoft Outlook and Zoom;
- Organizing and managing online files and materials, including sensitive information such as student applications. This includes helping the Associate Director and Associate Dean identify and implement new software and CRM for streamlining information management;
- Managing the Consortium space, including the conference room calendar and office supplies;
- Miscellaneous administrative duties as necessary to assist with the smooth functioning of the Consortium and its numerous programs; and other duties as assigned.
Required Qualifications
- Demonstrated experience managing events, communications, and operations.
- Excellent project management, administrative, and organizational skills.
- Experience with budget management and expense tracking.
- Excellent verbal and written communication skills, with strong attention to detail, accuracy, and presentation quality.
- Ability to maintain confidentiality and handle sensitive information.
- Ability to exercise sound judgment, discretion, diplomacy, and initiative.
- Ability to thrive in a fast-paced environment, manage multiple priorities, meet deadlines, and effectively prioritize work; must be dependable and punctual.
- Proficiency with Microsoft Office Suite, including Excel, Word, and PowerPoint, and experience using Zoom.
Preferred Qualifications
- Familiarity with social media tools.
- Experience using online collaboration and productivity tools such as Box, Doodle Polls, iContact, DocuSign, Canva, and CourseDog, or the ability to quickly learn new technology.
