Executive Administrative Assistant

We are seeking a highly polished, proactive, and detail-oriented Administrative Assistant to provide dedicated support within a fast-paced, high-pressure executive environment. This full-time, onsite position works closely alongside a senior Executive Assistant in supporting a high-level executive and ensuring seamless day-to-day operations.
The ideal candidate is organized, resourceful, adaptable, and able to maintain professionalism and discretion while managing a wide range of responsibilities. This role requires someone who thrives under pressure, can anticipate needs, and is comfortable handling both professional and occasional personal support tasks in a dynamic environment.
Location: South Bay area of Los Angeles
Schedule: Fully onsite, 5 days per week. Minimum of 40 hours weekly, with flexibility to start earlier and stay later as needed.
Employment Type: Direct hire position
Responsibilities
- Provide day-to-day administrative support to a high-level executive and senior Executive Assistant
- Create, maintain, and update spreadsheets, reports, and organizational tracking documents
- Prepare presentations, reports, and other administrative materials with a high level of accuracy and professionalism
- Organize and maintain filing systems, records, and confidential documents
- Assist with data entry, record keeping, and light bookkeeping responsibilities
- Coordinate errands and assist with occasional personal support tasks as needed
- Help manage priorities, schedules, and operational workflows to ensure efficiency
- Support special projects and handle ad hoc administrative tasks in a timely manner
- Maintain confidentiality and exercise discretion with sensitive information
- Communicate professionally with internal and external stakeholders
- Adapt quickly to changing priorities and urgent requests in a fast-moving environment
- Assist with ensuring daily office and executive operations run smoothly and efficiently
Qualifications
- Previous experience in an Administrative Assistant, Executive Assistant, or similar support role preferred
- Strong proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook
- Exceptional organizational skills and strong attention to detail
- Ability to multitask and prioritize effectively in a high-pressure environment
- Excellent written and verbal communication skills
- Professional demeanor with strong interpersonal skills
- Ability to handle confidential information with discretion and maturity
- Resourceful, proactive, and solution-oriented mindset
- Flexible and willing to work beyond standard business hours when urgent matters arise
- Strong work ethic with a no task too small attitude
- Ability to work onsite full-time in a collaborative executive environment
