Admissions Specialist

The Admissions Specialist plays a vital role as the first point of contact for prospective patients and their families. This position is responsible for guiding individuals through the admissions process with compassion and professionalism, ensuring clinical appropriateness, financial viability, and seamless coordination with internal teams. The ideal candidate will have a strong knowledge of addiction, 12-Step recovery principles, and substance use treatment, with the ability to work efficiently in a fast-paced environment. This role requires a candidate who can "hit the ground running," bringing prior admissions experience, experience in Recovery, and proficiency with multiple technology systems to ensure a smooth, efficient admissions experience for every patient and family served. Schedule: Sunday, Monday, and Tuesday 2:30pm - 9:00pm (part time). Training for this position will take place Tuesday-Friday from 11:30am-6:00pm and then will move to the regular expected schedule once individual has shown competency and proficiency. Key Responsibilities Field incoming calls and inquiries from prospective patients, families, and referral sources. Provide information about Fellowship Hall's programs, services, and admission criteria. Conduct insurance verification and quote out-of-pocket costs using insurance portals. Gather and document all necessary information to determine the appropriateness of admission. Coordinate with medical, clinical, and administrative staff to ensure prospective admissions are clinically and financially viable. Schedule admissions to optimize bed occupancy and coordinate arrival logistics. Maintain accurate records in the electronic medical record (EMR) system for reporting and communication. Demonstrate a strong foundational knowledge of addiction, recovery, 12-Step principles, and inpatient treatment best practices. Identify and understand common prescription medications, including scheduled narcotics, as well as street drugs to ensure accurate assessment and reporting. Operate across multiple systems including Outlook, Excel, Teams, live chat platforms, and insurance portals. Assist with other departmental functions as needed to support the admissions process and organizational goals. Qualifications Education Bachelor's degree in a human services-related field such as Social Work (BSW) (preferred). Psychology, or Counseling (preferred). CADC (Certified Alcohol and Drug Counselor) certification preferred . Experience Prior experience in admissions within a substance use treatment facility is helpful. Experience in the Recovery Field is a plus. Experience verifying insurance benefits and quoting out-of-pocket costs through insurance portals is a plus. Previous use of Electronic Medical Records (EMR). Knowledge of 12-Step programs, recovery principles, and addiction treatment. Experience in customer service. Experience in sales. Technical Skills Proficiency in typing and operating across multiple systems simultaneously. Experience using Microsoft Office Suite (Outlook, Excel, Teams) and insurance verification systems. Other Requirements Strong base knowledge of prescription medications, especially scheduled narcotics, and street drugs. Excellent communication and problem-solving skills. Ability to remain calm and compassionate while working with individuals and families in crisis.
