Our District has one early learning center, 15 elementary schools, five middle schools and a high school program divided between two 9 12th grade campuses. The District encompasses portions of Waukegan, Beach Park and Park City. Organizational Relationship: The FACTS (Funding and Child Tracking Systems) and Transportation/Data Enrollment Secretary is directly responsible to the Director of Diverse Learners or their designee. Essential Duties and Responsibilities:

1. Maintain a database of information received from the student identification forms of all programs, services, and staff, which will be entered in the FACTS record on a regular basis.
2. Complete ISBE reporting requirements and ensure deadlines are completed for Child Count and special education claims in collaboration with the Director of Diverse Learners or their designee and the Director of Student Services.
3. Faxing and/or typing of staff rosters, memos, schedules, contracts, reports, and general copying tasks, and distributing as necessary or directed.
4. Prepare and distribute monthly reports of Diverse Learners programs and services to the appropriate administrators of District 60.
5. Process, record, and receive student drops and personnel replacements for Diverse Learner Services.
6. Distribute notifications for these changes to all relevant staff using the required district forms, adhering strictly to District #60 procedures and policies. This responsibility includes addressing transportation adjustments or requirements that are indicated on spreadsheets, medical certifications, or Program Change forms.
7. Maintain accurate, up-to-date student Diverse Learners data screens for all diverse learners programs, utilizing information from Program Change forms provided to him/her, and Excel spreadsheets. This includes the current and projected school year.
8. Enter data for the same in the Student Information System expeditiously.
9. Check and distribute mail twice daily.
10. Answer phone calls and emails, and communicate/route messages in a timely manner.
11. Generate class lists from the Student Information System and other reports upon request, as appropriate.
12. Maintain all files and records in a legible, accurate, and organized manner.
13. Notify individuals/areas of parochial/preschool transportation changes if/when necessary.
14. Act as a liaison between the public and the office to present a positive image of the entire school district.
15. Provide quality service to parents, students, teachers, and administrators.
16. Assist with other activities in the division, such as division mailings and material ordering.
17. Provide secretarial support for grant requirements.
18. Perform other job-related duties as assigned.

Qualifications:

1. Must have a high school diploma or equivalent.
2. Commitment to the belief that all children, regardless of circumstances, can achieve at high levels.
3. Good communication, organizational, computer, and interpersonal skills required.
4. Preferred ability to work with data from multiple computer environments, including but not limited to: Windows based PC's, district-wide networked systems including the Student Information System (SIS) and Financial Management System (FMS), email and calendar systems, and web-based applications.
5. Effective and efficient word processing skills with knowledge of the Microsoft Office suite of programs.
6. Demonstrated ability to multitask effectively and prioritize strategically.
7. Ability to care for minute details and editing skills to ensure reliable and accurate results, verifying information for accuracy.
8. Ability to do record-keeping, prioritize, and work independently with minimal supervision, and follow oral and written instructions.
9. Be able to successfully work in a collaborative environment.
10. Ability to interact with teachers, parents, outside agencies, and central services staff.
11. Ability to plan, organize, schedule, and manage documents in a timely and effective manner.
