RSC Mechanical is an expanding mechanical contracting company seeking an adaptable, detail-oriented team player with strong communication and organizational skills. The ideal candidate will be comfortable working in a fast-paced environment and have a working knowledge of Microsoft Office applications, particularly Word, Excel, and Outlook.

As a Billing Assistant, you will play an important role in our daily operations by supporting the billing process, maintaining accurate work order documentation, reviewing completed service work, and ensuring labor, materials, purchase orders, and other billable items are accurately recorded.

This position requires strong attention to detail, time management, problem-solving skills, and the ability to work collaboratively with multiple departments.

Billing Assistant Responsibilities

• Retrieve, review, proofread, and verify completed scopes of work and submit work assignments through our internal system and customer portals.
• Review labor, equipment, materials, purchase orders, and inventory items for accuracy before invoicing.
• Accurately enter billing information into service tickets/work orders within Ventus.
• Proofread and verify completed scopes of work in Ventus.
• Gather required information for work orders and customer billing.
• Identify errors, missing information, or inconsistencies and work with the appropriate team members to resolve them.
• Complete the invoicing process accurately and on time.
• Batch invoices in Ventus and complete a final review for accuracy before submitting them to a supervisor.
• Maintain accurate and complete ticket documentation to ensure transparency throughout the billing process.
• Update required customer portals with completion notes and applicable documentation.
• Interface and collaborate with various departments, technicians, managers, customers, and subcontractors.

Other Responsibilities

• Work WIP/BID daily to maintain accurate open and closed jobs.
• Adhere to all project completion requirements and deadlines.
• Complete additional tasks assigned by your Manager or Supervisor.
• Collaborate with team members and assist with other accounts when needed.
• Ensure refrigerant information is accurately tracked on required spreadsheets and customer portals.
• Maintain accurate records of customer work orders, service requests, charges, expenses, labor, inventory, and backlogs.

Qualifications and Skills

• General computer proficiency with working knowledge of Microsoft Office and Outlook, with an emphasis on Excel.
• Strong organizational and analytical skills.

Compensation & Schedule

Compensation: $18.00 per hour.

Schedule: Monday through Friday, 8:00 AM5:00 PM.

After successfully completing 90 days of employment, employees are eligible to participate in the department's flex rotation schedule.

Overtime: Overtime may be assigned by your Manager based on business needs.

Work Location: Fully on-site in Clinton Township, MI.
