As a Receptionist at TopDog Law, you’ll be the first point of contact for clients, medical providers, courts, and business partners. You’ll help create a professional, welcoming experience while supporting the day-to-day operations of a fast-growing personal injury law firm.

Responsibilities

• Answer and professionally route inbound calls from clients, medical providers, courts, and business partners.
• Provide friendly, empathetic, and efficient customer service while resolving routine questions whenever possible.
• Direct callers to the appropriate attorney, paralegal, case manager, or department.
• Accurately document client interactions and update information in internal systems.
• Monitor voicemail and ensure messages are routed promptly.
• Receive, sort, scan, organize, and distribute incoming and outgoing mail and legal documents.
• Handle time-sensitive correspondence, certified mail, packages, and other firm communications.
• Maintain organized mail logs, tracking records, and related documentation.
• Assist with general administrative duties including filing, scanning, copying, and maintaining office supplies.
• Maintain strict confidentiality when handling client and firm information.
• Support workflow improvements and special projects as needed.
• Deliver a consistently professional client experience in a fast-paced environment.

Qualifications

• High school diploma or equivalent.
• Previous receptionist, customer service, call center, or administrative experience preferred.
• Excellent verbal and written communication skills.
• Professional phone etiquette and strong interpersonal skills.
• Excellent organization and attention to detail.
• Ability to manage multiple priorities and remain calm under pressure.
• Comfortable learning new technology and business systems.
• Strong problem-solving skills and a client-first mindset.
• Ability to handle confidential and sensitive information with discretion.
• Legal or professional-services experience is a plus, but not required.
