Mutual Fund Broker Trading Lead Specialist

Location: 4900 Tiedeman Road, Brooklyn Ohio

Location: During training one will be required to work onsite. Once training is completed the role will be a hybrid opportunity requiring 2 days on-site each week.

Hours: Monday- Friday from 8:00am-5:00pm

ABOUT THE JOB

This role involves working closely with brokers and external investment managers who handle mutual fund trades for trust clients. You’ll be responsible for entering trade instructions into the bank’s system, managing the movement of funds related to those trades, and ensuring all transactions are accurately recorded and balanced. You’ll also handle special events like fund mergers or liquidations, and perform quality checks to ensure everything is processed correctly and on time.

In addition, you’ll monitor and confirm trades through industry platforms, resolve any issues with trade settlements or system errors, and maintain accurate records by comparing internal data with broker statements. You’ll support daily departmental operations by managing shared mailboxes, updating procedures, testing system upgrades, and providing backup for other desks within the department. This position requires strong attention to detail, the ability to work independently, and a solid understanding of financial systems and workflows.

ESSENTIAL JOB FUNCTIONS

• Broker Communication & Trade Processing
  Handle phone calls from brokers and external managers trading mutual funds for trust clients. Post their trade instructions into the Global Plus custody system and manage related wire transfers.
• Cash & Account Reconciliation
  Balance daily cash activity tied to broker trades and reconcile account records with brokerage statements to ensure accuracy.
• Corporate Actions & Quality Control
  Process mutual fund corporate actions (e.g., mergers, liquidations) and perform quality checks on receipts and distribution transfers within required service timelines.
• Trade Monitoring & Issue Resolution
  Confirm trades via Fund/SERV for EB Collective Funds, monitor large liquidations, ensure proper settlement through NSCC, and resolve any transmission or system issues.
• Data Validation & Reporting
  Validate and post mutual fund activity from brokerage statements, research discrepancies, complete annual audits, and maintain up-to-date broker information.
• Operational Support & System Testing
  Monitor department and digital mailboxes, cross-train for coverage, participate in system upgrade testing, maintain procedures, and support specialized retirement fund processes (401A, 403B, 457).

REQUIRED QUALIFICATIONS

• High School Diploma or GED
• Excellent verbal and written communication skills, with the ability to convey information clearly and professionally.
• Experience working in an operations or office environment.
• Strong attention to detail and commitment to accuracy.
• Self-motivated with the ability to work independently and manage tasks with minimal supervision.
• Demonstrated success in collaborative, team-oriented environments.
• Proven ability to identify and resolve problems effectively.
• Excellent organizational and time management skills.
• Skilled in managing multiple priorities and meeting deadlines in a fast-paced setting.
• Quick learner with the ability to grasp complex processes and systems.

PREFERRED QUALIFICATIONS

• Knowledge of Key systems: Global Plus, Global Office, Fidelity Wealthscape
• Four-year degree in Business or Finance
• Experience in Mutual Fund Operations
• Experience in Trust Operations

Physical Demands

• General Office - Prolonged sitting, ability to communicate face to face in person or on the phone with teammates and clients, frequent use of PC/laptop, occasional lifting/pushing/pulling of backpacks, computer bags up to 10 lbs.

COMPENSATION AND BENEFITS

This position is eligible to earn a base hourly rate in the range of $18.75 - $25.00 per hour. Placement within the pay range may differ based upon various factors, including but not limited to skills, experience and geographic location. Compensation for this role also includes incentive compensation which may include production, commission, and/or discretionary incentives.
