Role Summary We are seeking a warm, organized, and detail-oriented Front Desk Coordinator / Psychiatric Office Receptionist to be the first point of contact for patients at our growing mental health clinic. This in-person role is critical to creating a welcoming, professional, and compassionate patient experience while supporting daily clinic operations. The Front Desk Coordinator is responsible for patient reception, scheduling, registration, insurance verification, daily reconciliations, and ensuring appropriate documents are uploaded into the clinic system and Electronic Medical Records (EMR). As a founding team member, you'll play an important role in helping shape a modern, patient-centered psychiatric practice.

The Front Desk Coordinator is responsible for patient reception, scheduling, registration, insurance verification, daily reconciliations, and ensuring appropriate documents are uploaded into the clinic system and Electronic Medical Records (EMR). As a founding team member, you'll play an important role in helping shape a modern, patient-centered psychiatric practice.
Primary Responsibilities
- Patient Reception: Greet and check in patients in person, ensuring a calm, respectful, and confidential experience. Maintain cleanliness and organization at the front desk area, ensuring patient forms and resources are readily available.
- Front Desk Operations: Manage daily operations, including answering phone calls, responding to inquiries, routing calls to appropriate personnel, and handling communications in a courteous, professional manner.
- Scheduling & Coordination: Schedule appointments appropriately based on visit type, time, staffing, and supplies. Coordinate with clinicians and clinical staff to support smooth clinic flow.
- Patient Follow-Up: Monitor missed patient appointments and ensure they are rescheduled or followed up with in a compliant manner.
- Billing & Documentation: Verify patient information, check specific insurance benefits, obtain pre-authorizations (if needed) for specialized procedures, and collect co-pays or required documentation.
- Compliance & Systems: Interact with EHR/EMR software to maintain organized records in compliance with HIPAA and clinic policies.
- Program Support: Understand the Spravato REMS program and serve as an Authorized Representative for the clinic.
- Quality & Values: Take ownership and respond positively to address mistakes, resolve complaints, improve quality, and uphold all company values, policies, and procedures.
- Education: High school diploma or GED equivalent required.
- Experience: Prior experience in a medical, psychiatric, or healthcare office setting is preferred.
- Technical Skills: Experience using scheduling systems, EHRs/EMRs, and basic office technology is strongly preferred. Intermediate skills in Google Suite, Microsoft Word, Excel, and Outlook are required.
- Soft Skills: Strong interpersonal and communication skills with a patient-first mindset. Ability to handle sensitive information with extreme professionalism and discretion.
- Work Style: Excellent organizational skills, strong attention to detail, and the ability to multi-task and prioritize workload. Must be punctual, flexible, and have a positive problem-solving attitude.
