About the Role KIPP Chicago seeks an experienced individual for the position of Office Manager. The OM is the face of the school and delivers first‑class customer service to all constituents in the building, including students, parents, staff, and guests. The bilingual OM also holds a unique role as a key Spanish‑language communication lead for the school’s operations team with our Spanish‑speaking families. The OM’s primary responsibilities are to operate a welcoming and efficient main office, coordinate student enrollment and attendance, and provide daily support to teachers and the school’s leadership team. The OM will report to the school’s Director of Operations. Responsibilities Communicate effectively in Spanish and English with students and families. Translate weekly newsletters and family communications into accurate written Spanish. Create a neat, welcoming, and organized office environment. Welcome parents and visitors, maintain visitor logs, and respond to visitor and parent requests. Ensure all visitors are accounted for in the building. Answer phones, redirect inquiries as appropriate, and relay messages to staff in a timely manner. Oversee student attendance: process late arrivals, communicate with teachers and school leadership about student absences, call families of absent students, ensure attendance is accurately logged in PowerSchool and IMPACT student information systems each day, and process early dismissals. Coordinate new student enrollment: process incoming applications, send acceptance and wait‑list letters, manage wait‑list, and assist parents with online enrollment. Maintain teacher workroom and ensure that copiers and printers are in working order. Maintain school supply closet and assist with inventory control. Process and fulfill staff supply requests. Receive, distribute, and prepare incoming and outgoing mail and shipments. Assist with coordination of school events. Assist with production and distribution of memos and newsletters. Maintain complete sets of all parent and staff forms. Order and distribute school uniforms and assist with inventory control. Coordinate student health services: monitor student health and safety for any unusual or troubling trends, coordinate with the site nurse to ensure that students receive appropriate care. Qualifications Oral and written fluency in Spanish and English. Minimum of two years of school administrative experience. Ability to work 50 hours per week in person, 7 AM–5 PM at the school location. Experience with IMPACT SIM preferred. Excellent oral and written communication skills. Excellent organizational skills and detail orientation. Strong typing and technology skills, specifically with Microsoft Office and Google Drive. Evidence of strong interpersonal skills. Evidence of personal initiative and follow‑through. Demonstrated passion for and commitment to the KIPP mission. At least two years of college; bachelor’s degree preferred. Ability to lift 30 lb unassisted. Cleared CPS background check and Faith’s Law Attestation before start of employment. Compensation and Benefits KIPP Chicago Schools offers a competitive compensation and benefits package: Hourly rate is based on experience related to the role and responsibilities; overtime rate applies to 10 hours worked over 40 hours each week.
