Patient Access Rep

Job Summary This position greets patients and guests in a courteous manner via telephone or in person, initiates appointment scheduling or completes the check‑in/admission process, and verifies accurate identification and demographic data to support accurate reimbursement. The role handles point‑of‑service collections, performs face‑to‑face patient interactions related to registration and admission, verifies insurance via electronic verification, telephone, or web application, and consistently represents the organization professionally to improve patient satisfaction. The candidate is cross‑trained to support multiple functions across all patient and payer types. Education Required: High school diploma or equivalent Preferred: Associate’s degree Work Experience Required: Minimum of 1 year in a hospital, clinic, medical office, business services/revenue cycle, or other customer service environment involving direct patient interaction (e.g., front‑line registration, financial counseling, banking, retail). Certifications Preferred: Healthcare Access Manager (CHAM), Healthcare Access Associate (CHAA), Medical Assistant or other medical specialty‑based certification. Knowledge, Skills, and Abilities (KSAs) Computer skills for data entry and retrieval. Effective verbal and written communication. Proficiency with Windows‑style applications and role‑specific software. Strong interpersonal skills. Clerical skills and technical knowledge of insurance benefits, payer guidelines, and billing regulations. Ability to present information and respond to patient/customer questions. Problem‑solving skills under high‑stress situations while maintaining professionalism. Excellent organizational, time‑management, and conflict‑resolution skills. Analytical and decision‑making skills with strong attention to detail. Collaborative working with other departments. Judgment in handling or escalating difficult situations. Job Duties Provide excellent customer service to patients, guests, and family members. Create, activate, and complete patient scheduling, clinic registration, or hospital admission processes. Ensure all required forms and paperwork/documents are completed accurately. Gather and input patient/guarantor demographic and financial information; explain insurance benefits and collect co‑pays, deductibles, and self‑pay portions. Perform financial analysis of each case and inform patients of financial responsibility. Balance cash drawer daily, prepare deposit slips, and follow closing procedures at shift end. Maintain respectful staff relationships and resolve inter‑personal conflicts. Adapt communication style to the specific patient population, including privacy respect and tailored explanations of services. Perform other related duties as required. Physical and Environmental Demands Sedentary work: sitting most of the time with occasional standing or walking; may lift, carry, push, or pull up to 10 pounds occasionally. No exposure to blood, body fluid, or tissue under normal routine. Employees may work with communicable diseases or in isolation rooms and are exposed to potential hazardous medications or waste.
