Service Center Dispatcher

We are seeking an organized, detail-oriented, and motivated Service Center Dispatcher to join our Toyota Service Department. The dispatcher plays a key role in keeping the service shop running efficiently by assigning repair orders to technicians based on workload, skill level, technician availability, and repair priorities.

The ideal candidate is an excellent communicator who can manage workflow, coordinate with service advisors and technicians, and help ensure vehicles are repaired efficiently while maintaining Toyota's standards for quality and customer satisfaction.

Key Responsibilities

• Dispatch repair orders (ROs) to technicians based on skill level, experience, workload, and availability.
• Monitor shop workflow to ensure technicians remain productive and repair orders move through the shop efficiently.
• Prioritize repair orders based on appointment schedules, promised delivery times, waiters, and urgent repairs.
• Coordinate with service advisors and technicians regarding repair status, additional work, and estimated completion times.
• Monitor technician productivity, efficiency, and work distribution throughout the day.
• Track repair orders from initial assignment through completion.
• Identify workflow delays, bottlenecks, or technician capacity issues and communicate them to management.
• Ensure repair orders are properly assigned and updated in the dealership's dealer management system (DMS).
• Assist with balancing workloads to maximize shop efficiency and customer satisfaction.
• Maintain clear communication between the service drive, shop floor, parts department, and service management.
• Follow dealership procedures and Toyota service department standards.

Qualifications

• Previous automotive dealership or service department experience preferred.
• Experience with technician dispatching, shop scheduling, or repair order management is a plus.
• Strong organizational, communication, and time-management skills.
• Ability to multitask and make quick, effective decisions in a fast-paced environment.
• Basic understanding of automotive repair processes and technician skill levels.
• Familiarity with dealership management systems (DMS) preferred.
• Ability to work effectively with service advisors, technicians, parts personnel, and management.
• Strong attention to detail and a commitment to maintaining an efficient workflow.
